Location: Newton Country Day School, 785 Centre St. Newton, MA
Schedule: Full-time, year-round, 7am – 3pm, some night and evening events required
Salary: $63,000-70,000
Position Summary
Newton Country Day School of the Sacred Heart seeks a dynamic, organized, detail-oriented, flexible multi-tasker for a dual reporting role: 1) to manage the bustling Middle School Office, and 2) an assistant for the digital aspects of the busy and fast-paced Marketing and Communications Department.
- Middle School Administrative Assistant: This role assists the Middle School Division Head in maintaining the daily functions of the academic day and school year through administrative and operational support. The Administrative Assistant serves as the primary front office point of contact for students (primarily ages 10-14), faculty, and parents.
- School Communications: This role assists in executing the school’s digital presence through website content management and email communication production that supports Admissions, Advancement, and community engagement.
The ideal candidate is a clear communicator who is comfortable supporting the School community. The candidate works nimbly and independently, employs common sense, writes effectively, streamlines processes, and troubleshoots. This person will support, promote, and execute the goals of both the Middle School and Marketing and Communications Department with collaborative spirit, dynamic energy, and a commitment to excellence
Key Responsibilities
Responsibilities include collaboration with constituencies and significant individual task management.
Administrative Support
- Coordinate and schedule appointments, projects, meetings, and daily tasks for the Middle School Director, including preparing agendas, documents, slideshows, and recording minutes.
- Manage and oversee the distribution of correspondence, memos, reports, and mailings.
- Maintain comprehensive records through Veracross, including daily attendance, academic reports, and school-wide calendars.
- Lead special projects and seasonal coordination, such as the yearly student planner, Orientation, and field trip logistics.
- Coordinate logistics for middle school events and professional development, including Back to School Night, conferences, and community-building activities.
- Manage and coordinate annual divisional budgets and process all expenses in collaboration with the Business Office.
- Serve as the primary point of contact for the Middle School community, greeting visitors, handling phone calls, and communicating effectively with parents, students, and faculty.
- Cover the front desk as needed.
Marketing / Communications
- Make updates to the school’s website, including management of the school’s calendar and forms, using the web-based content management system.
- Create, review, and send school communication emails to multiple audiences for all departments of the school.
- Assemble, post, and send the following regular communications: a weekly update email for the school community; a monthly newsletter for the school community; a quarterly newsletter for the alum community.
- With members of the MarComm team, attend and report on school events by capturing photo or video, collecting information, and writing for the school’s website and social media channels.
- Contribute towards the production of the annual School magazine and other publications.
- Support major school events (e.g., Homecoming, Reunion, Commencement), including occasional evening and weekend hours.
- Contribute to additional Marketing and Communications projects as needed.
Qualifications
- Bachelor’s degree required.
- Experience in both administrative assistant administration and office management.
- Excellent verbal communication skills, as well as strong writing, editing, and proofreading skills
- Experience handling sensitive and confidential information with discretion and sound judgment.
- Strong time-management skills; can work independently on assignments with minimal direction.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, Sites), Microsoft Office Suite, Adobe Acrobat, Canva, Power School, and web-based content management systems
- Proficiency with Google Classroom or similar platforms is a plus.
- Experience in digital marketing, content creation, or social media management preferred
- Experience with social media platforms, content management, and email marketing tools is a plus
- Basic photography and video production/editing skills is a plus
- Experience in an educational or nonprofit setting preferred
