Walnut Hill School for the Arts seeks a Development Associate to provide high-level operational support to the development team to advance the School’s philanthropic and fundraising goals. The Development Associate helps to strengthen relationships between alumni, parents, students, trustees and other constituents, and provides proactive and effective cultivation, stewardship, and engagement of donors. This position is responsible for implementing and managing a variety of initiatives aimed at enhancing relationships and increasing support for the School.
The Development Associate assesses goals and effectiveness of outreach strategies and identifies new opportunities as needed. A member of a small but highly successful development team, the Associate is a proactive team-player, who has excellent communication skills and enjoys working in a dynamic mission-focused organization.
The ideal candidate has meticulous organizational skills, the ability to think creatively and critically, and is highly collaborative. Attendance at occasional evening and weekend events is required. Experience and comfort working with Google Suite, Microsoft Office, and Zoom is critical.
This is a 12-month, non-exempt, position reporting to the Chief Development Officer.
- Provide administrative support and organization for Development events;
- Oversee event details such as managing name tags, registration, lists, gifts, etc.;
- Work with other departments to ensure smooth events including facilities, catering, and technology; and
- Keep a calendar of events and organize notes for future years.
- Partner with the Creative team to strategically engage and inform constituents about School happenings in a timely manner; effectively utilize the School’s magazine, alumni newsletters, online and print communications, and social media;
- Manage regular communications with constituents such as birthday cards, first gift postcards, donor-versary cards, and other communications as needed;
- Organize class notes and obituaries for School Magazine; and
- Identify, interview, and write alumni spotlights for publication.
- Develop annual plan to cultivate, steward, and engage all current and potential donors in conjunction with the Chief Development Officer;
- Write and produce stewardship reports including annual ‘Impact Report’, reports on endowment, school updates, and other customized communication as needed; and
- Keep gift officers updated on pertinent information and prompt actions as needed.
Administrative Support & Office Management
- Conduct donor research on new families and prospects;
- Maintain office supplies and giveaways;
- Assist with office mailings;
- Take minutes at Alumni Association meetings, Governance meetings, and other meetings as needed;
- Collaborate with the Chief Development officer to monitor and manage updates for alumni and giving pages on the website;
- Check and respond to Development Office general emails; and
- Other duties as assigned.
Collaboration & Community Involvement
- Attend student performances, art openings, and art events throughout the year; support and engage richly in arts productions, shows, exhibitions, and performances;
- Work collaboratively with colleagues across all departments to foster a positive working and educational environment for students and employees to support the school’s mission, vision, and core values; and
- Attend and participate in required faculty and staff meetings and department meetings; pursue PD opportunities in and out of school; display willingness and ability to grow, learn, explore new approaches, and practice self-reflection.
Skills & Requirements
- Bachelor’s degree or equivalent experience required;
- 2+ years of experience in Development or administrative support; non-profit, arts, or education experience a plus;
- Strong computer skills and demonstrated proficiency with Google applications and Microsoft Office Suite;
- Ability to work independently as well as part of a collaborative team;
- Professional work habits and the ability to handle confidential information with discretion;
- High level of organization and strong attention to detail;
- Strong interpersonal, written, and verbal communication skills combined with excellent project management skills;
- Ability to prioritize, multi-task and accomplish set responsibilities while gracefully responding to unexpected tasks;
- Excellent customer service and interpersonal skills and ability to work with a wide range of people – alumni, students, parents, faculty/staff, donors, board members, outside artists, and community members;
- Experience with, or interest in, working with international students and families;
- Demonstrated commitment to fostering a safe and inclusive community;
- Possess cultural competence in working with diverse populations and commitment to learning about and practicing anti-racist work; and
- COVID-19 vaccination & booster or valid exemption required.
Physical demands include dexterity for office machine and supply operation including but not limited to writing, typing, using electronic devices, computer, phone, calculator, copy machine, fax machine, and printers. Stooping, bending, traveling to/from locations on campus, ascending/descending stairs, reaching and sitting or standing for extended periods of time are common.
