Schedule: Monday–Friday, 7:45 AM – 4:00 PM (includes 30-minute paid lunch)
Position Overview
We are seeking a highly organized, warm, and detail-oriented Administrative Assistant to support the Principal of a Montessori school serving toddlers through Children’s House students. This role is central to the daily school operations, ensuring smooth administrative functioning while fostering a welcoming and professional environment for children, families, and staff.
The ideal candidate is proactive, discreet, and aligned with Montessori values, with a genuine appreciation for early childhood education.
Key Responsibilities
Administrative Support
- Provide direct administrative support to the Principal, including calendar management, correspondence, and scheduling
- Prepare documents, reports, and communications for internal and external audiences
- Maintain organized digital and physical filing systems
Front Office & Community Engagement
- Serve as the first point of contact for families, visitors, and staff
- Answer phones, respond to emails, and manage general inquiries with professionalism and warmth
- Support admissions processes, including scheduling tours and maintaining applicant records
School Operations
- Assist with student records, attendance tracking, and compliance documentation
- Coordinate school events, meetings, and parent communications
- Manage office supplies and vendor relationships
Communication & Coordination
- Facilitate clear and timely communication between the Principal, faculty, and families
- Support newsletters, announcements, and school-wide updates
- Assist in maintaining the school’s calendar and event planning logistics
Qualifications
- Bachelor’s degree preferred or equivalent experience
- 2+ years of administrative experience, preferably in a school setting
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office/Google Workspace
- Ability to handle confidential information with discretion
- Warm, professional demeanor and strong interpersonal skills
- Interest in or familiarity with Montessori education is a plus
Work Environment & Schedule
- Full-time, on-site position in Newton, MA
- Hours: 7:45 AM – 4:00 PM, Monday through Friday
- Includes a 30-minute paid lunch break
