Senior AR/AP Specialist

Position Overview:
The Senior AR/AP Specialist will be responsible for partnering with the Finance team to manage audit functions and day-to-day operations to ensure timely and accurate financial reporting. This role is critical to the Business Office at Newton Country Day School (NCDS) and involves close collaboration with its two members, as well as faculty and staff across the school. This position reports directly to the Controller. This is a 12 month position.

Responsibilities:

  • Responsible for managing the accounts receivable (AR) operations – ensuring accurate and timely processing of incoming payments.
  • Oversee all aspects of student billing, collections, and reconciliation.  
  • Monitor accounts receivable aging (30-60-90 days) and proactively manage collections on overdue accounts.
  • Communicate with families about past-due balances, respond to billing inquiries, and assist with payment plans.
  • Reconcile daily cash receipts and prepare month-end AR reconciliation reports for the Controller and senior management.
  • Assist in improving AR processes, implementing internal controls, and streamlining billing workflows.
  • Support year-end closing procedures and external audit preparations related to accounts receivable.
  • Maintain accurate records of all correspondence and actions related to collections and payment issues, ensuring compliance with school policies.
  • Foster positive relationships with parents, students, faculty, and staff while maintaining confidentiality and professionalism.
  • Review and post daily gift transactions to the general ledger, reconcile with Development Office records, and resolve discrepancies.
  • Responsible for managing the accounts payable (AP) operations – ensuring accurate and timely payment of invoices, and managing school credit card reconciliations.
  • Prepare monthly departmental expense reports and work with administrators on budget performance and inquiries.
  • Support year-end closing procedures and audits.
  • Provide administrative support as needed to the broader school community.
  • Ensure compliance with internal process controls.

 

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field (preferred).
  • 2-3 years of experience in an accounting or financial role, preferably in an independent school or nonprofit setting.
  • Strong knowledge of GAAP, internal controls, and accounts receivable and payable practices.  
  • Exceptional analytical and organizational skills, with meticulous attention to detail and problem-solving abilities.  
  • Proficiency in accounting software (experience with Veracross and QuickBooks preferred).
  • Commitment to maintaining confidentiality and handling sensitive financial information with care. 
  • Ability to work independently, manage multiple tasks, and meet deadlines.
  • Excellent communication, interpersonal, and organizational skills.
  • Technical proficiency in Microsoft Word, Excel, PowerPoint, and Google Docs.
