The Veracross System Administrator oversees the operation, configuration, data integrity, reporting, and user support of the School’s Veracross/Axiom Student Information System. This position serves as the primary point of contact for SIS-related requests, data projects, reporting needs, user permissions, workflows, integrations, and vendor support.
The Veracross System Administrator works closely with faculty, staff, administrators, families, and external partners to ensure accurate data, efficient processes, timely issue resolution, and effective use of the system across the school. This position supports the ongoing improvement of SIS-related workflows and helps ensure that school data is accurate, secure, accessible to appropriate users, and aligned with institutional needs.
Part-time or full-time position (preference given to part-time candidates).
Essential Job Duties & Responsibilities
SIS Administration and Data Management
- Administer and maintain the Veracross/Axiom Student Information System, including system settings, user accounts, roles, permissions, portals, forms, workflows, reports, exports, and related configurations.
- Serve as the primary point of contact for Veracross-related questions, support requests, data needs, and system issues.
- Maintain the accuracy, consistency, and integrity of student, family, faculty/staff, enrollment, attendance, scheduling, grading, transcript, and demographic data.
- Conduct regular data audits and coordinate with appropriate departments to identify and resolve data inconsistencies, duplicate records, outdated information, and workflow gaps.
- Support annual and recurring SIS processes, including enrollment cycles, school-year rollover, scheduling, grading/reporting periods, attendance processes, transcript preparation, and portal updates.
- Ensure SIS access and data practices align with school policies, data privacy expectations, and appropriate role-based access standards.
Reporting, Workflows, and Process Improvement
- Create, modify, maintain, and troubleshoot reports, queries, exports, data lists, and dashboards to support academic, administrative, enrollment, operational, and leadership needs.
- Review data and reporting requests from users and stakeholders to determine scope, timeline, feasibility, and appropriate solutions.
- Identify opportunities to improve SIS workflows, reporting efficiency, data-entry practices, and cross-departmental processes.
- Document SIS procedures, common workflows, reporting processes, and data standards to promote consistency and continuity.
- Prepare for Veracross/Axiom module expansions or system changes by reviewing requirements, studying available functionality, and advising appropriate stakeholders.
User Support and Training
- Provide Veracross-related technical support and assistance to faculty, staff, administrators, and families in a timely and professional manner.
- Assist with Help Desk tickets related to Veracross, SIS data, portals, reports, forms, permissions, and related school data systems.
- Provide end-user training, documentation, and guidance to support effective and consistent use of Veracross.
- Communicate clearly with users of varying technical skill levels and provide written and/or verbal updates to management as required.
- Work collaboratively with departments to understand user needs, clarify data requirements, and support effective use of SIS tools.
Vendor, Integration, and Project Support
- Serve as the primary liaison with Veracross support for system issues, troubleshooting, escalations, enhancement requests, and product feedback.
- Work with vendors and internal stakeholders to resolve problems efficiently and escalate issues when appropriate.
- Support integrations between Veracross and related school systems, including Finalsite and other platforms as assigned.
- Assist with vendor reviews, contract discussions, renewals, and service evaluations as requested.
- Participate in SIS-related projects, system improvements, module implementations, data migrations, and process changes.
- Make independent decisions within the scope of established school policies, stakeholder requirements, and the IT Director’s direction.
Professional Responsibilities and Other Duties
- Ensure compliance with applicable School Information Technology policies, standards, and data privacy practices.
- Stay current with Veracross functionality, SIS best practices, school data management practices, and relevant professional development opportunities.
- Participate in educational opportunities, read professional publications, maintain professional networks, and engage in relevant professional organizations as appropriate.
- Create and manage email accounts for faculty, staff, and students.
- Provide related IT or data systems support as directed and assigned by the IT Director.

Skills & Qualifications
- Bachelor’s degree in information systems, educational technology, data management, school administration, or a related field preferred.
- Three to five years of relevant experience administering a Student Information System, school database, or cloud-based administrative platform preferred; Veracross experience strongly preferred.
- Strong understanding of school data workflows, including student records, family records, enrollment, attendance, grades, schedules, transcripts, portals, and annual rollover processes.
- Demonstrated ability to maintain data accuracy, consistency, and integrity across multiple departments, user groups, and data-entry points.
