Assistant Director of Advancement

Annual Salary Range: $70,000 – $75,000

Mother Caroline Academy & Education Center, Boston, MA

Mother Caroline Academy (MCA) seeks a passionate, well-qualified Assistant Director of Advancement who will work closely with the Director of Advancement to achieve the school’s philanthropic and engagement goals. This role is a dynamic mix of strategy, execution, and data management, requiring a candidate who can transition from donor outreach and event planning to database entry/reports to communications focused on advancement. The ideal candidate is a relationship builder, a compelling communicator, and a precise coordinator.

Occasional evening and weekend work is required as events are scheduled throughout the school year. This position is a hybrid model (3 days in-office, 2 days remote) to balance team collaboration with deep-focus work. On-site attendance may increase to 4 or 5 days during key school events or busy seasons.

Key Areas of Responsibility

Annual Giving & Reporting

  • Annual Fund Management: Lead the strategic planning, solicitation, and overall management of the Annual Fund to meet or exceed annual revenue goals.
  • Marketing Material Development: Author, design, and coordinate the distribution of impactful Annual Fund marketing materials and multi-channel outreach strategies.
  • Annual Report Production: Manage the comprehensive preparation and publication of the Informational Brochure – (2025 Report) to celebrate milestones and demonstrate donor impact.

Database Management & Operations

  • Gift Processing: Oversee Bloomerang database management, ensuring accurate and timely gift entry, development record updates, and financial tracking.
  • Stewardship Operations: Generate official donor acknowledgment letters and legal gift receipts within required processing windows.
  • Reporting & Analytics: Pull regular progress reports, donor segments, and analytical data to inform the strategic decisions of the Advancement Director

Community Engagement & Media Outreach

  • Multi-Channel Communication: Manage outreach to donors, prospects, volunteers, and the broader community across electronic platforms (Facebook, Instagram, LinkedIn, Bloomerang Email campaigns, and website Advancement sections) and print media.
  • Vendor Management: Act as the primary liaison to outside printing and graphic design vendors to ensure all collateral aligns with brand standards and timelines.
  • Media & Public Relations: Actively conduct research to recruit new friends of the organization, secure corporate sponsors, and establish local media contacts to elevate the school’s public profile.

Events & Relationship Management

  • Special Events Coordination: Take full responsibility for fundraising and “friend-raising” special events, including venue research, contract negotiations, vendor relations, internal staff coordination, committee leadership, and volunteer recruitment.
  • Volunteer Stewardship: Recruit, train, and manage volunteers to support fundraising initiatives and event execution, while cultivating ongoing relationships with current friends, donors, and alumni.

Campaigns, Corporate Giving, & Foundations

  • Comprehensive Solicitation: Assist the Director of Advancement in all aspects of solicitation, including direct appeals (print and digital), corporate donor renewals, and prospective corporate outreach.
  • Grants Program Collaboration: Partner with the Director of Advancement and a part-time Grant Writer to research new foundation prospects, draft proposals, and apply for grant opportunities.

Student & Donor Connection (Class Sponsor Liaison)

  • Meaningful Connections: Serve as the liaison for the Class Sponsor program, working directly with major donors and staff to connect students with philanthropic supporters in impactful ways.
  • Logistical Coordination: Plan and execute meaningful donor-student engagement opportunities, including field trips and special school activities, while coordinating closely with the academy principal, teachers, families, and facility administrators.

Job Qualifications & Requirements

  • Education: Bachelor’s degree in Communications, Marketing, Non-profit Management, or a related field preferred.
  • Experience: 2-4 years of experience in non-profit fundraising, advancement, or development operations.
  • Technical Skills: Proficiency with fundraising databases (e.g., Bloomerang, Raiser’s Edge), Google Suite, social media platforms, basic website knowledge, Square Space and AI experience a plus.
  • Interpersonal Skills: Exceptional written, verbal, and organizational skills. Ability to build trust with diverse stakeholders, from corporate executives to school families.
