Pingree School is seeking a highly motivated and organized full time main office administrative assistant, starting in August 2026. This is an 11-month position (July off) with two weeks off in December and in March. The hours for the position are 7:00 a.m. to 3:00 p.m. This is a highly visible position in a busy, open office area, and the successful candidate will be able to multi-task efficiently and present with a warm and professional demeanor. The Main Office Administrative Assistant is an important and integral member of the Pingree community, serving as the public face of the school and the first contact for visitors and guests at Pingree. In light of these responsibilities, this is a fully in-person role. This is a non-exempt position reporting to the Executive Assistant to the Head of School.

General responsibilities include, without limitation:

Receptionist duties

  • Greeting and screening visitors in accordance with the School’s safety policies;
  • Answering multiple phone lines, e-mail communications, and transmitting messages;
  • Serving as a knowledgeable and approachable resource for students, families and visitors;
  • Supporting school initiatives such as managing the lock box for student cell phones;
  • Assisting with mail machine and making photocopies;
  • Accepting deliveries and distributing mail.

Administrative duties

  • Maintaining student attendance in the School’s database;
  • Calling substitute teachers in the event of faculty absence and maintaining the substitute log;
  • Assisting with catering orders;
  • Being present for and assisting with important school events outside regular hours including Back to School Night, Student-Family-Teacher Conferences, Awards Night, Senior Week events and Commencement;
  • Serving as the School’s bus liaison, including managing bus inquires and related communications;
  • Ordering office supplies and maintaining stock of supplies in various locations around the school;
  • Printing ID cards for students and new faculty and staff;
  • Assisting with new faculty/staff interview process including securing student tour guides, posting a welcome sign and making sure snacks and drinks are available;
  • Collecting “Morning Announcements” and typing daily for the next morning; posting announcements on e-mail and in various screen locations within the school;
  • Updating school calendars;
  • Other duties as assigned by the Executive Assistant to the Head of School.

Requirements:

  • Bachelor’s degree required;
  • 2+ years of administrative or office support experience preferred;
  • Experience working in a school environment preferred:
  • Proficiency with Google Workspace, Microsoft Office, Veracross, Blackboard Connect and Canvas preferred;
  • Interacts with students, staff and community members with a warm, compassionate and professional manner;
  • Self-starter with strong organizational skills;
  • Understanding of and appreciation for Pingree’s mission statement;
  • Maintains confidentiality and professional boundaries in regard to the handling of sensitive information;
  • Ability to work independently and as part of a team, including strong collaboration skills with the School colleagues;
  • Commitment to working collegially in a diverse community;
  • Demonstrated commitment to diversity, equity and anti-racism work;
  • Meticulous attention to detail, organizational, project, and time management skills;
  • Track record of applying sound judgment; strong decision making and problem-solving skills;

  • Available for occasional evening and weekend work in conjunction with School events;
  • Ability to communicate clearly in a loud and busy workspace setting;
  • Ability to carry 25 pounds and move within a multi-story school building.

The salary range for this position is $50,000 to $70,000 annually. An individual’s placement within this range is based on work experience, education credentials, and cocurricular responsibilities.
