The Campus:
Brookwood is located 25 miles north of Boston on the coast in Manchester, MA on a beautiful 30-acre wooded campus. The physical plant includes a pond, wetland spaces, forest areas, and open green space. The 130,000 square foot facility sits under one roof with construction ranging from the original 1900 stable (now housing grades 5-8) to the 2014 state-of-the-art lower school, a dining commons, and kitchen. In addition to grade level classrooms, there are five outdoor classrooms, two music rooms, three art studios and a kiln room, four science labs and science gym, a newly renovated library with a 15,000 volume collection, an Idea Lab, a gymnasium and a multi-purpose theater/gymnasium space, a dance studio, two synthetic turf fields, and well-appointed outdoor play spaces. The surrounding area of Cape Ann is filled with beautiful natural and historical attractions such as beaches, parks, preserves, museums, and hiking trails that are used frequently by our students, employees, and families alike.
Job Summary:
The Manager of Alumni Engagement & Donor Relations leads Brookwood’s efforts to cultivate lifelong connections with alumni and to deliver thoughtful, high-touch stewardship for donors. This role oversees alumni engagement strategy and execution—including the Alumni Council and the Young Alumni program—to strengthen participation, volunteerism, and giving across decades. The manager plans and supports alumni events, produces tailored stewardship and recognition, and supports colleagues by coordinating outreach around the Brookwood Fund. While the role collaborates on gift processing and data integrity as needed, its primary focus is alumni engagement and donor relations. This position reports to the Director of Development and works closely with the Director of the Brookwood Fund & Community Engagement.
Essential Duties:
Lead Alumni Engagement
– Oversee the Alumni Council: lead recruitment and management of volunteers, set agendas, coordinate communications, prepare materials, and foster collaboration to advance alumni participation, volunteerism, and giving.
– Build and manage the Young Alumni Program, creating touchpoints (events, mentoring, classroom/career spotlights, service days) that keep recent graduates connected to Brookwood.
– Develop and execute an annual alumni engagement calendar (regional gatherings, on-campus events, reunion activities, class connector/agent outreach).
– Oversee alumni engagement via social media, e-newsletters, and LinkedIn.
Strengthen Donor Relations & Stewardship
– Produce timely, personalized stewardship: acknowledgements, impact updates, recognition lists, and year-end reports for donors.
– Partner with the Director of the Brookwood Fund & Community Engagement on segmented appeals, participation challenges, and campaign-aligned outreach.
– Coordinate donor and alumni recognition opportunities (publications, events, digital spotlights).
Plan Alumni & Donor-Facing Events
– Lead logistics for alumni and donor events (concept, run-of-show, communications, attendance tracking, post-event follow-up), ensuring a high-touch experience.
– Collaborate across departments (Communications, Teaching & Learning, Athletics, Arts) to showcase program impact in events and stewardship.
Coordinate Communications
– Create and manage alumni communications (email, social, web updates) in collaboration with Communications, ensuring consistent voice and brand.
– Gather and maintain class notes, alumni features, and content for the Brookwood Bulletin and digital channels.
Data & Reporting (in support of engagement goals)
– Maintain accurate alumni segments and contact updates; request and review lists for outreach, events, and stewardship.
– Track engagement metrics and produce simple dashboards (participation, event attendance, volunteer activity) to inform strategy.
Cross-Functional Collaboration
– Serve as the primary point of contact for alumni volunteers (class connectors/agents, event hosts, speakers).
– Coordinate with the Development team to support the Brookwood Fund and Major Gift pipeline (referrals, briefings, prospect notes from alumni interactions).
– Work in close partnership with the Business Office to track and reconcile donations to the school on a weekly and monthly basis.
General
– Work occasional evenings/weekends for key events.
– Other duties as assigned that advance the school’s mission and support the work of the Development efforts.
Job Requirements:
– A Bachelor’s degree or equivalent
– Experience with relationship and data management in a nonprofit setting preferred, with a willingness and ability to learn Veracross
– Exceptional people skills and a focus on constituent services
– Excellent written and verbal communication, strong organizational skills, and sharp attention to detail
– A high level of professionalism, with a strong commitment to maintaining confidentiality and a high degree of accuracy in donor records
– Ability to take initiative on projects, working both independently and within a fast-paced, collaborative environment
– Experience with annual fund/direct mail and alumni programming.
– Proficiency in Word, Excel, PowerPoint, and Google Suite
– A willingness to promote an “all hands on deck” attitude
