The Position

The Head of School Assistant and Admission Associate will hold a full-time role supporting both the Head of School and the Admission Office. This individual will play a key role in advancing the School’s mission through effective student enrollment efforts and administrative coordination.

Head of School Assistant and Admission Associate Duties and Responsibilities

  1. I) Admission 
  • Connect with prospective families to generate interest in gaining information and applying to the Sage School
  • Interview and tour prospective students and parents/guardians 
  • Collaborate with faculty to plan applicant assessments
  • Support the admission process by managing admission applications and data entry, and preparing enrollment reports from the database.
  • Review and evaluate student applications
  • Collaborate with the Director of Admission to plan and host various events, activities, and programs, including scheduling tours, student visit days, Open Houses and other admission events
  • Assist in planning and participate in recruitment events, including sessions that are conducted on-campus, off-campus, and via video conferencing
  • Work with student and parent Admission Ambassadors 
  • Produce ThankView videos to support the admission goals of the School
  1. II) Head of School 
  • Provide high-level administrative support to the Head of School, including managing calendars, scheduling meetings, and coordinating travel.
  • Serve as a liaison between the Head of School and faculty, staff, parents, trustees, and external partners.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the Head of School.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Assist in planning and organizing school-wide events, Board meetings, and leadership team retreats, including preparing materials, agendas, and minutes.
    • Assist with providing food and facilitating catering for Board-related events
  • Support strategic initiatives and special projects led by the Head of School.
  • Assist with coordinating the flow of communication from the Head of School’s office, in collaboration with the Director of Communications, to the broader school community, ensuring clarity, accuracy, and timeliness.
  • Maintain organized records and files related to school operations, accreditation, and governance.
  • Greet visitors and manage Head of School office communications with warmth and professionalism.
  • Anticipate the needs of the Head of School and proactively address tasks to ensure efficient day-to-day operations.
  • Attend all Board meetings and maintain meeting minutes

Essential Job Functions

  • Learn, internalize, and genuinely represent the culture, programs, and traditions that make The Sage School such a special school community
  • Knowledge of Canva and/or other graphic design programs
  • Knowledge of, or ability to learn, the School’s various database programs, including but not limited to Blackbaud Enrollment Management, Blackbaud Core, etc.
  • Knowledge of the Google and Microsoft suite of products
  • Must be able to exert a good amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects upwards of 50-60 lbs.
  • Ability to work a flexible schedule, including evenings and weekends for school-wide activities as needed
  • Communicate effectively in English
  • Possesses excellent social, written and oral communication skills; an ability to multi-task and consistently meet deadlines
  • Attend all school meetings and engage in various aspects of the School community
  • Requires the ability to speak and/or signal people to convey or exchange information. Includes receiving instructions, assignments, and/or directions from colleagues and superiors.
  • Requires the ability to prepare a variety of correspondence, reports, invitations, forms, lists, etc. 
  • Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with emergency situations.

Reports to: Both the Head of School and Director of Admission
