Summary:

The Director of Advancement Services is the information systems manager for Fenn’s Advancement Office. His/her primary responsibilities are management of the Raiser’s Edge database and its integration with other systems (GiveCampus, ThankView, PaperSave, FinalSite, Blackbaud CORE), establishment and documentation of procedures, data entry and integrity, and system enhancements. Additionally, he/she enters gifts; drafts and merges acknowledgement letters; produces batch reports and gift documentation for the Business Office; and generates reports and/or exports data for analysis. In the course of his/her duties, he/she interfaces regularly with fellow Advancement staff, trustees, volunteers, donors, faculty, and school administrators. The successful candidate will thrive on attention to detail, be able to work with and understand data, be able to implement organizational systems, and have strong project management skills. This is a full-time, twelve-month position, with some evening and weekend hours.

 

Primary Responsibilities include:

  • Serving as manager of the advancement database, including making recommendations and supporting the advancement team in its use.
  • Serving as the primary gift entry specialist, processing daily all annual, capital, endowment, and current-use gifts.
  • Collaborating with the Business Office to reconcile all donations and to oversee gift-processing mechanisms and systems.
  • Producing all acknowledgement correspondence, including letters for the Head of School, drafting personalized language where necessary.
  • Assisting with the establishment of standards for data entry and usage and documenting these standards to further improve the efficiency and productivity of the Advancement Office.
  • Performing data entry tasks, including coding student activities, awards, athletic teams, post-Fenn education, and volunteer roles.
  • Using LinkedIn and other online sources to update business information on constituents and research new addresses, emails, and phone numbers to continuously improve the accuracy, depth, integrity, and completeness of the Advancement database.
  • Processing new constituent data, updating records for existing constituents, and managing the annual database roll-over.
  • Preparing monthly fundraising reports, donor lists for the annual Report of Giving, and other development materials as needed.
  • Producing accurate lists for advancement mailings and projects.
  • Conducting donor research and creating briefing profiles for prospect management and strategy.
  • Utilizing data analysis to provide recommendations around fundraising programs, segmentation, appeals, etc.
  • Collaborating with colleagues in other school offices on data-related projects, including serving as a member of the school-wide Data Integrity Committee.
  • Providing proofreading support for advancement materials.
  • Working with the Director of Advancement on the stewardship program for endowed funds and restricted gifts, including preparing correspondence and reports.
  • Playing a central role in prospect review meetings to capture vital information to inform the prospect pipeline.
  • Performing other related duties as assigned.

Qualifications:

  • Bachelor’s degree or equivalent preferred
  • Knowledge of Microsoft Word, Excel, and PowerPoint; experience with Blackbaud’s Raiser’s Edge or other relational database software highly desirable
  • Outstanding interpersonal skills and judgment
  • Exceptional accuracy, consistency, and attention to detail in data entry
  • Discretion in dealing with confidential information
  • Ability to work independently and as a member of a team
  • Ability to handle multiple projects simultaneously
