Lincoln School, founded in 1884, is an independent Early Childhood–Grade 12 Quaker school for girls in Providence, Rhode Island, with a co-ed Little School program. We are currently seeking an Advancement Coordinator with a start date of July 1, 2025.

The Opportunity

Lincoln School seeks an experienced professional to join a dynamic team at an exciting time in the life of the School. This full-time (12-month), in-person position will play a prominent support and data management role within Lincoln’s fast-paced fundraising office. About You

You have a bachelor’s degree – or the equivalent experience – 3-5 years of experience working in advancement / development, and a strong foundation in fundraising best practices. You have a high level of professionalism, flexibility, and enthusiasm and you enjoy supporting your team and working with donors, alumnae, volunteers, and board members. You see opportunities in obstacles and thrive in a fast-paced environment. You value working in and fostering an inclusive community. You are excited by the possibility of working in a school environment and believe in the power of philanthropy.

You’re action-oriented with excellent planning and organizational skills and are naturally detail-oriented. You have a clear understanding of the strategic value that correct data provides from data entry to reporting to donor experience, recognizing it as the critical foundation for success in any fundraising department. You stay up-to-date on fundraising trends and best practices and are committed to fundraising as a profession.

You will directly report to the Director of Advancement and will support all staff on the Advancement team in our quest to achieve both annual and long-term fundraising goals. Primary duties and responsibilities include:

Gift Processing & Acknowledgment

  • Enter, process, and track all gifts, pledges, sponsorships, and corporate and foundation grants
  • Prepare and generate timely acknowledgement letters
  • Execute fulfillment mailings including fundraising appeals, thank you letters, pledge reminders, and Green Blazer Society welcome packets, as needed
  • Work with the Business Office to ensure all donations are recorded appropriately
  • Work with the Advancement Team to establish and maintain best practices and procedures for gift entry, processing, and acknowledgment
  • Liaise with Business Office staff to ensure all steps of transaction processing are efficient
  • Reconcile gifts weekly with the Business Office
  • Support the Business Office during the annual audit

Database Management

  • Maintain the overall quality and integrity of the donor database and troubleshoot issues
  • Maintain highly accurate and current donor data
  • Create and manage ongoing data hygiene processes
  • Create and generate lists, queries, and reports for mailings, e-appeals, Advancement Committee, Committee on Trustees, and Lincoln School Alumnae Association (LSAA) meetings, Advancement communications (Lincoln Magazine, Gratitude Report), and Advancement in-person and virtual events (including Alumnae & Reunion Weekend, LSAA events, and Grandfriends Day)

Donor Data Research and Analytics

  • Track overall Advancement Team performance and generate reports and queries on donor giving patterns and trends, donor retention, and donor acquisition
  • Perform in-depth research, update/create database records, and create highly detailed briefings on major gift and comprehensive campaign prospects as requested by the Director of Advancement, Director of Leadership & Legacy Giving, Director of Annual Giving, Head of School, or other staff

Administrative & Event Support 

  • Be the front line for the Advancement team — answer phones, route alumnae and donors to the appropriate team member, and ensure a positive and welcoming customer service experience for all constituents
  • Submit and track all payment requests and expense reports
  • Record and prepare minutes for Advancement Committee, Committee on Trustees, and Lincoln School Alumnae Association (LSAA) meetings
  • Support execution of Advancement event logistics, including vendor research and vendor relations, quotes/proposal process, coordinating meetings, and managing the event database
  • Provide ongoing and timely communications with event venue managers, vendors, Lincoln Facilities Team, and Advancement Team regarding each event’s structure and needs
  • Track/restock inventory of supply needs prior to events, programs, and major mailings
  • Track Advancement event RSVPs, manage correspondence with attendees, and create name tags
  • Provide on-site coordination to deliver high quality, successful, and professional events
  • Ensure team needs are met for donor and alumnae visits (in particular, donor and alumnae visits to campus)
  • Support the creation of presentations and materials as needed

The Advancement Team enthusiastically accepts other duties, as well as learning and professional development opportunities, as needed and assigned. Attendance at night and weekend Advancement events is required as a member of the team.
