Position Summary

The Admissions Assistant performs a range of Admissions office support activities including greeting visitors, answering and directing incoming calls, performing data entry, scheduling, filing, and completing administrative tasks as assigned. The Admissions Assistant works closely with the Admissions team for all Divisions and the Director of Marketing, serving as the the main resource of support for families inquiring or in the Admissions process. The Admissions Assistant works directly with school employees and visitors providing courteous, friendly, and professional assistance as a steady ambassador for The Fessenden School.

Essential Functions

  • Greet visitors to the Admissions office, prepare Admissions office for daily Admissions events and visitors.

  • Answer telephone calls and emails promptly and respond within 24 hours. Speak with prospective parents, students, consultants, and others about Fessenden and field calls for the Secondary School Counseling Office.

  • Work with the Admissions team to create Admissions event schedules (campus visits, interviews, screenings, etc.) and add events to Ravenna.

  • Organize and track inventory for all Admissions assets (marketing materials, trade show swag, event materials, etc.) and reorder and request the appropriate materials six to eight weeks in advance of supply running out.

  • Assist the Director of Marketing in activities related to the promotion of the School to prospective families.

  • Confirm appointments through calls or emails and be a steady resource for families inquiring or navigating the Admissions process.

  • Mail viewbooks and other printed material to prospective families.

  • Manage incoming application materials and ensure that student files are complete by the application deadline by contacting parents/consultants regarding incomplete items in student files.

  • Assist in setting up, breaking down, and working at functions during the work day, occasionally at night, and on weekends at events, such as open houses, receptions, 5th & 6th grade assessment morning, Secondary School Placement Fair, New Parent Reception, and other events as needed.

  • Admission Database Management:

  • Run reports such as the admissions activity report and others as needed.

  • Process inquiries through Ravenna and create new inquiries from other sources, such as school fairs and open houses.

  • Consistently maintain and interpret Admissions data through Ravenna.

  • Update the information on candidates’ checklists in Ravenna and pursue missing items to complete applications.

  • Other duties as assigned

    • Proficient in Google Apps including Gmail, Google Docs, and Google Calendar; creating and manipulating spreadsheets, assorted documents, mail merges, and labels;

    • Proficient in Ravenna Admissions Portal, and Blackbaud database, and HubSpot CRM.

    • Skilled at data management including downloading, uploading, and merging data across multiple platforms.

  • Well organized with demonstrated attention to detail and data tracking.

  • Demonstrated excellent written and verbal communication skills.

  • Discretion and the ability to handle confidential and sensitive matters appropriately.

  • Ability to perform multiple concurrent tasks and function in a fast-paced working environment.

  • Capability to operate and maintain office equipment.

  • Ability to serve in a diverse community of colleagues, students, and parents.

  • Successful completion of criminal background check

Schedule

  • 7:45am through 3:45pm, Monday through Friday.
