Registrar

The Registrar is responsible for managing student records, supporting enrollment processes, ensuring compliance with academic policies, and maintaining accurate data for reporting and decision-making. This role facilitates smooth academic operations and serves as a key resource for students and staff regarding academic records and regulations.
Essential Job Functions:
- Provide registrar services for all students, including creation and distribution of course selection booklets, forms, and schedules; creating and troubleshooting the master schedule for each division; maintaining the registrar computer system, transcripts, and related statistical data; production and distribution of progress reports and report cards; assisting teachers, counselors, and athletics personnel with student lists and scheduling information
- Track and report student demographics outside the registration and scheduling process, including Massachusetts Department of Education data and other census information
- Track, report daily, and maintain all required attendance records
- Maintain records of student awards, extracurricular activities, courses passed by examination, disciplinary actions, senior projects, summer credits, transfer credits, and withdrawals
- Prepare accurate transcripts for all grades
- Maintain and update all student records and coordinate the transition of records (paper and electronic) from Admissions to the Academic Dean’s office
- Coordinate applications, recommendations, and transcripts for the College Counseling office
- Coordinate getting course planning materials to advisors and families during the course enrollment process
- Collaborate with the Academic Dean and Scheduler for the course enrollment process, including assisting with updating Blackbaud Education Management for registration
- Assist the Academic Dean with data collection for academic reports
- Create and distribute reports for faculty and advisors several times each year
- Update transcripts with Awards, Class changes, Senior Projects, Summer credit, Transfer credit, Withdrawals
- Regularly assess faculty and staff training needs – develop and provide training programs regularly, which provide staff with techniques to efficiently use the software, including grade and comment entry, customization of reports, and techniques for finding and sorting sets of data to assist decision-making processes
- Train and orient staff who will provide back-up when the registrar is not available
- Work to transition all paper-based forms to online forms that integrate with the school’s database system
- Manage registration of parent conferences, including programming the software with faculty, parents, students, classes, and rosters. Helping parents with software.
- Other duties as assigned.
Skills and Qualifications
- Minimum of five years’ experience as a registrar at another educational institution
- Minimum of a bachelor’s degree with two years of experience
- Work well in individual and group settings to solve problems in a timely manner by gathering and analyzing information skillfully and developing alternative solutions with objectivity and openness to other views
- Uses reason when dealing with difficult emotional topics or situations
- Strives to build knowledge and skills continuously
- Possess a strong work ethic
- Present self in a professional manner at all times
- Proficiency in Microsoft Office and other database programs used to maintain student records such as Blackbaud, Microsoft Office, Word, Excel, Outlook, Teams, etc., Ravenna, August Schools, Cariina, pickAtime.
- Excellent written and verbal skills
- Ability to manage multiple tasks, work independently, and manage competing priorities while maintaining a professional attitude
- Ability to troubleshoot situations
- Demonstrated ability in the areas of judgment, discretion, and confidentiality
- Understanding of the academic setting; knowledge of the registrar function is highly desirable
- Highly detail-oriented; rapid and accurate data entry; strong proofreading skills.
- Work well under pressure; meet deadlines, maintain a calm demeanor during critical user events
- Self-motivator who works well independently and as a contributor to team effort
- Ability to troubleshoot and resolve common Windows software and PC hardware issues.

Requirements
This job requires one to lift, carry, push, and/or pull materials and equipment weighing up to 20 pounds, as well as the ability to stand, sit, walk, and effectively use extremities to reach, hold, touch, push, pull, lift, and carry. Incumbent must also effectively communicate (oral, written, non-verbal) with others. This job typically requires 70% sitting, 20% walking, and 10% standing and is performed under minimal temperature variations in a generally hazard-free environment. Depending on the classroom assignment, this role may require one to relocate classrooms throughout the day and require ascending and descending stairs. Incumbents will occasionally be required to work extended hours, including after school, during evenings, and on weekends.
Dexter Southfield’s 36-acre campus is composed of several buildings, playing fields, and outdoor learning spaces, which are accessible via internal and external walkways, stairs, nature paths, hills, and uneven terrain. This position requires one to transfer between these areas in all weather conditions.
