Position Summary

The Advancement Coordinator is a full-time position that reports to the Executive Director of Advancement and provides administrative and project management support for a high-performing, six-person team. This person will be detail-oriented, nimble, and proactive, with an ability to communicate effectively, set and meet deadlines, and follow up effectively with partners. This individual must be able to handle confidential information responsibly and be excited to learn, adapt, and innovate.  

Responsibilities:

  • Gift processing and data administration
    • Prepare all new gifts for processing 
    • Maintain accurate constituent data in the donor database
    • Assist Advancement Operations Manager with pulling and preparing basic data requests
    • Serve as frontline customer service for inquiries related to gift mechanics, event registration, etc
  • Stewardship and communications
    • Draft donor and constituent correspondence as requested
    • Produce acknowledgment letters, tax receipts and pledge reminders for donations
    • Maintain the endowed funds list, coordinate establishment of new endowed funds, and prepare annual reports to donors on status of endowed funds
    • Conduct basic constituent research and draft donor briefings for meetings involving the Head of School and key volunteers.
    • Coordinate appeals and donor mailings, including preparing mailing lists, printing, labeling, and mailing
    • Assist with planning, preparing, and sending mass emails through email marketing software
    • Create, track, and organize proposals and gift documentation for all special purpose gifts, working with the finance team and other Carroll stakeholders
  • Events:
    • Assist in planning and preparing for Advancement events, including creation and maintenance of event forms, tracking RSVPs, outreach to invitees, event material production, and post-event data reporting
    • Provide onsite event support (occasional early morning, evening, and weekend work required)
  • Provide general administrative support for the Executive Director and the Advancement team as requested, including but not limited to: scheduling meetings, booking meeting spaces, creating and updating meeting agendas, circulating meeting minutes, etc.) 
  • Perform other tasks as assigned by the Executive Director or designee

Qualifications:

  • Detail-oriented with excellent organizational, interpersonal and communication skills (written and oral)
  • Ability to multi-task and juggle competing priorities
  • Proficiency in Microsoft Office and Google Suites
  • Knowledge of constituent databases
  • 1 – 2  years of professional experience
