Middle School Administrative Assistant

Dana Hall School seeks candidates for the position of Middle School Administrative Assistant. The individual in this position will be accountable for:

  • supporting the daily work of the Director of the Middle School and Assistant Director of the Middle School
  • managing the day-to-day organizational needs of the Middle School, including arranging faculty substitution coverage, maintaining student attendance records and managing infractions related to attendance and supervising in-school detention
  • providing general office support including: updating office calendars, printing, filing, collating, monitoring supplies, maintaining lists, placing phone calls, sending emails and regular mailings, scheduling meetings and submitting work orders
  • providing administrative support for routine and special Middle School projects, e.g., class trips and spirit days
  • serving as the main initial contact for the Middle School, providing support to students, faculty, staff, parents and others
  • providing live reception for visitors: greeting students, faculty, parents and guests
  • collaborating with the Director of the Middle School and Assistant Director of the Middle School to maintain student records and facilitate communicationwith families
  • supporting the hiring process for teaching candidates at the Middle School
  • other duties as assigned and necessary

Candidates must have: a minimum of three years of administrative experience: a college degree is preferred; demonstrated comfort and proficiency with technology skills including Microsoft Office and Apple platforms, as well as Google Apps. Experience with Blackbaud, Filemaker, as well as with Canvas or similar platforms is preferred.

Successful candidates will be organized, professional, self-motivated, detail-oriented, warm, creative, and productive, as well as have a strong work ethic, a positive approach to problem solving and an ability to work effectively in an active, dynamic school environment. Individuals should have strong written and verbal communication skills, including proofreading and editing, and an ability to work collaboratively and independently. They must possess superior time-management skills with an ability to plan workflow, manage many tasks and projects simultaneously, and assume responsibility for competing projects. In addition, candidates must enjoy working with adolescents in support of their education.

This is a 12-month, full-time, hourly, non-exempt position reporting to the Director of the Middle School with a projected start date of July 1.  Hours are 7:30 a.m. – 4:00 p.m. from Monday – Friday, depending on the needs of the office.
