HMS is Seeking a High School Office Coordinator

School Year Position 

We are looking for an individual to join our experienced and collaborative faculty as the front office coordinator on the high school campus.

About the Position

The office coordinator oversees the central hub of the high school campus for students, parents, faculty, and visitors.  This person is responsible for efficiently and effectively assisting people with their varied needs and maintaining an orderly and calm office environment, all while creating a welcoming and warm atmosphere. The work schedule follows the academic calendar with the additional need to be on campus two weeks before the start of school and two weeks at the end of the school  year.

Responsibilities include:

• Field communications including phones, phone messages, FAX, mail, and disseminate/screen appropriately
• Provide clerical support to faculty/staff/students as required
• Offer daily guidance to all students with regard to their schedules (academic and otherwise)
• Assist with coordination of daily bussing program during office hours (fielding parent calls, etc.)
• Maintain visitor records
• Maintain employee off-campus log
• Maintain Lost & Found
• Maintain and file attendance and student records
• Maintain working knowledge of and have access to student emergency & consent forms, transportation notebook, and immunization forms
• Support field trip planning and documentation
• Assist employees with and provide for maintenance of office equipment
• Assist with coordination of Board of Trustee meeting and retreats
• Render first aid and purchase first aid supplies
• Conduct health screenings as needed

High Mowing School is home to over 330 preschool–grade 12 day and boarding students, with about 150 students on the high school campus. Travel a bit further to Montreal in Quebec, Canada, for a weekend with an international feel.

Qualifications

• Ability to bring order to chaos and maintain calm in a distracting environment
• Excellent organizational, interpersonal, written, and oral communication skills
• Impeccable personal appearance and warm manner with children and adults
• Warm, caring, disciplined way with students
• Good problem-solving skills and ability to develop and implement administrative procedures to improve efficiency and effectiveness
• Background or familiarity with Waldorf education preferred
• Proficient with databases, G-Suite and other office and digital communication tools
