Athletics Auxiliary and Communications Manager

Pingree is hiring an Athletics Auxiliary Program Manager. This position is responsible for assisting in managing the day-to-day operations of the Department of Athletics and Athletics Auxiliary Program at Pingree School within the context of a day school committed to promoting health and wellness, citizenship, teamwork, and sportsmanship. Pingree is a member of the Eastern Independent League. This is a 12-month position.

Primary responsibilities include but are not limited to the following:

Auxiliary rentals

  • Schedule and staff all athletics auxiliary rentals for Pingree’s athletics facilities including the athletics center, track and tennis courts, weld gym, ice rink and outside athletics field
  • Achieve annual revenue target for athletics auxiliary rentals; work with the Chief Financial Officer and Director of Athletics to forecast budget projections, optimize revenue generation and financial sustainability, negotiate rental agreements, and determine fees.
  • Coordinate with renters to ensure smooth execution of rental contracts; manage rental income and expenses, invoices, and payment processing in partnership with the business office; reply to all auxiliary rental requests in a timely manner. 
  • Meet with the Business Office on a quarterly basis to review revenue and expense projections and reconcile billing.
  • Coordinate with athletics staff and Building and Grounds team to ensure seamless operation of auxiliary programs, including scheduling, logistics, and engagement; attend weekly operations meeting school wide.
  • Manage the recruitment, training and supervision of staff or volunteers involved in auxiliary programs; ensure all rentals are staffed appropriately and serve as site supervisor as needed. 
  • Coordinate with payroll and human resources to ensure that all onboarding paperwork is complete and timesheets are reviewed and submitted on a timely basis.
  • Promote auxiliary programs and facility rentals to the local community, as well as the faculty and staff community, fostering positive relationships and attracting participation to support school initiatives.

Athletics Program – External Communications and Operations

  • Support promotion of Pingree Athletics programs including but not limited to providing content and support for the athletics website; take leadership role in social media presence, updating and maintaining athletics instagram and twitter accounts, and helping with additional sports information needs in collaboration with the athletics and communications team.
  • Assist with tracking of individual, team and league awards, statistics, and achievements.
  • Manage Hudl account and support coaches and students in accessing livestream and film breakdown tools.
  • Serve as liaison to the Pingree Alumni and Student Life teams to coordinate affinity based outreach, execute highlight and senior games, and assist with other responsibilities as needed. 
  • Assist with day to day logistics of athletics program and serve as game day supervisor; assist with Pingree athletics event management, including game and practice set up and breakdown, parking logistics, running clocks and scoreboards and supporting coaches and teams as needed.
  • Other duties as assigned; afternoon/evening and weekend hours are required on a regular basis during the competition seasons.

 

Qualifications and Skills Required for Position:

  • Bachelor’s degree required
  • Minimum of 1-3 years of experience in athletics administration or auxiliary administration, coaching, and playing interscholastic athletics preferred.
  • Must be extremely detail-oriented and have the ability to prioritize daily tasks and work in a fast-paced environment; must possess strong organizational, analytical, and problem-solving skills; must be proficient in use of technology.
  • Excellent written and verbal communication skills needed with a proven ability to collaborate with various constituencies.
  • Self-starter and proactive in identifying solutions and areas of opportunity.
  • Experience working with and supporting students and coaches and an understanding of the role of athletics in supporting the broader goals of the institution.
  • Commitment to working collegially in a diverse community and communicating effectively with a diverse population.
  • Other duties as assigned; evening and weekend work will be expected.
  • Must be able to  set up and break down fields and equipment including moving nets; the position may involve frequent bending, moving, lifting, and carrying material weighing up to 50 pounds; standing up to six hours each day and walking in between athletics fields, courts and offices; working in all weather conditions.
