The Salesforce & Database Administrator is responsible for maintaining and continuing the development of Chewonki’s Salesforce instance, related constituent databases, and accounting system. This role serves as the primary project lead and data expert for all projects related to Chewonki’s databases. The role regularly interfaces with both program and departmental staff teams, is responsible for translating the needs of those teams into technical solutions, and additionally provides support, training, and relevant documentation. The Salesforce & Database Administrator collaborates with Chewonki’s Salesforce Consultant on special projects.


Project Lead (35%)

  • Facilitate and guide database development and maintenance in collaboration with over 30 end-users.

  • Translate departmental business requirements into functional specifications and then implement those projects through flow, page layouts, formulas, custom fields, dashboards, and reports.

  • Identify future database needs and coordinate the planning and development of solutions with Chewonki’s Salesforce Consultant and Chewonki’s Data Governance Committee.

Salesforce Technical Administration and Data Quality (35%)

  • Ensure the integrity and security of data and systems, including implementing appropriate login security measures, managing Salesforce Profiles, Permission Sets, Sharing Rules, and Groups.

  • Oversee backup and recovery procedures and ensure business continuity best practices are in place for all data systems.

  • Serve as the primary contact for all cloud-based database software vendors that integrate with Salesforce. Purchase and manage user licenses for Salesforce and all other installed packages and maintain software inventory.

  • Test new releases of Salesforce and other packages and communicate the release process with all users.

  • Perform annual data maintenance and record updates (i.e. picklist values and other seasonally-related data).

  • Oversee quarterly NCOA updates and other third-party data services’ updates.

  • Responsible for batch importing data and for overseeing weekly/monthly seasonal updates from other data sources into Salesforce.

Documentation, Support, and Training (30%)

  • Assist end-users with the report and dashboard design, including custom report types and Apsona Reports with email and document merge actions.

  • Process all account delete/merge requests to ensure proper data is maintained across all departments.

  • Develop and regularly update database documentation, including writing data standards and procedures.

  • Develop training materials and provide training to support Salesforce end-users.

  • Communicate regularly with department teams to understand their training and support needs.

  • Provide end-user support and troubleshooting services, and, as necessary, open cases with Salesforce or other vendors to assist in troubleshooting and problem resolution.
