Reporting to the Associate Head for Teaching, Learning, and Faculty, the Registrar and Academic Program Manager is responsible for the maintenance of student records at the institutional level, ensuring the integrity and accuracy of all registration and transcript records of incoming, current, and former students. The Registrar and Academic Program Manager facilitates effective student registration and enrollment and advises students, families, and faculty on guiding students through the Academic Program at CA. Overseeing the Schedulers and Standardized Testing Coordinators, this role manages the Academic Office systems, and coordinates with other school offices to support student progress through the curriculum. This position also serves as the institutional hub of academic and student-focused research, and will assist task forces, committees, and administrators in conducting internal and external research.
Responsibilities:
Registrar
-
Manage and monitor all aspects of the student database that have an impact on records, registration, and course enrollment.

Work closely with IT to manage data integrity and quality.

Facilitate effective student registration and enrollment by ensuring proper requirements are in place.

Produce official transcripts and perform degree verification to maintain students’ eligibility for graduation.

Produce regularly updated student transcripts, GPA, and grades/comments throughout the school year in support of the Academic and College Counseling Offices.

Oversee the collection and distribution of grades and teacher/advisor comments on a quarterly basis.

Produce timely and accurate statistics including class rosters, enrollment dashboards, and other reports to inform campus decision-making and planning in partnership with the Schedulers.

Serve as Services for Students with Disabilities (SSD) Coordinator for College Board and ACT.

Assist students with disabilities in applying for extended time and understanding College Board rules and practices.

Communicate with families, document decisions, etc.

Administer the SEVIS program for the school and maintains compliance for registering international students.

Maintain core course information with the NCAA.

Provide appropriate recommendations for the implementation of related technology applications in support of enhanced services for new and current student registration, scheduling, student course planning, transcripts, grading and course/advisor comments.

Work with the Academic Office on key academic dates for the coming year.

Research industry best practices. Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending training, courses or conferences as needed or required.
Program Manager

Oversee the Schedulers and their work on program catalog, course requests, drop/add process, mid-year changes, and withdrawals.

Oversee the SAT and AP standardized testing coordinators and their work in scheduling, administering, and staffing standard testing at CA.

Coordinate and facilitate bi-weekly Academic Office staff meetings.

Manage office collaborations with the Information Technology department and academic technology initiatives.

In partnership with the Associate Head and College Counseling Office, guide student progress toward graduation requirements and recommended course loads.

Together with the Associate Head and the Director of Learning Services, provide resources and support for families with concerns around their student’s academic progress.

Collaborate with the Academic Support Center on matching students with appropriate academic support.

Partner with the College Counseling Office on reviewing student schedules and course trajectories.

Support the Director of Curriculum & Pedagogy in managing student application and progress in semester away programs.
Institutional Researcher

Spearhead the collection and analysis of data to support initiatives on campus.

Collaborate with offices and departments toward continuing their work in data tracking, analyzing, and sharing that data in the service of furthering equity at the school.

Collaborate with offices and departments to collect new data on experiences of current students, alumni, and graduating seniors.
Qualifications
-
Bachelor’s degree. Master’s degree preferred.
-
3+ years of relevant experience in secondary or higher education records management.

Record of strong administrative and supervisory experience in an educational or non-profit environment.

Demonstrated commitment to diversity and inclusivity and to serving the needs of a diverse and inclusive community with diplomacy and tact.

Experience with or ability to learn about FERPA regulations as related to student records

Past experience with NCAA athletic eligibility certification is preferred but not required.

Strong interpersonal skills with ability to develop and maintain collegial relationships with varied constituencies.

Willingness and ability to learn additional applications as needed.
Salary Range: $65,000 to $80,000 annually
