Position Overview 

The Registrar and Assistant to the Director of College Counseling assists the Dean of Academics and the Director of College Counseling in gathering and organizing information about students’ academic progress at Kents Hill. As Registrar, this employee oversees the publication of grades, teacher comments, and advisor letters; tracks student progress toward meeting graduation requirements; updates students’ transcripts; oversees the annual academic awards process; and prepares the Husky Portal for the creation of new student schedules. The employee also assists the Director of College Counseling in loading information into SCOIR (College Admissions Data Management App)  for college-bound students..

Key Responsibilities

  • Communicates grading/feedback protocols and timelines to faculty
  • Processes grades and internal/external feedback
  • Organizes follow-up steps for incomplete/failing grades (e.g. summer credit recovery)
  • Organizes scheduling for parent-teacher conferences
  • Organizes academic awards nomination and selection
  • Acquires books, NHS and Presidential certificates, and other awards for end of year prizes
  • Completes preparatory portal tasks–rolling over classes, entering new classes, etc.
  • Collects and submits all textbook orders
  • Collects/creates/updates student transcripts
  • Audits former transcripts for completeness and an official signature
  • Creates, proofs, and uploads official transcripts into SCOIR for College Counseling Office
  • Enters Awards and Prizes, AP, PSAT, SAT, ACT, and TOEFL results into SCOIR
  • Tracks college admissions decisions and helps with annual CC reporting
  • Organizes scholarship opportunities in paper files, Google Docs, and in SCOIR
  • Manages college admissions visit requests and schedule and helps organize college fair
  • Manages transcript requests from former students and alumni
  • Updates graduation progress forms
  • Tracks dropped courses and communicates changes with the Director of College Counseling
  • Other duties as assigned by the Dean of Academics or Director of College Counseling

Qualifications and Experience

  • Bachelor’s degree or relevant experience. 
  • Minimum of 2-3 years experience in a similar position
  • Ability to work independently and as part of a team
  • Commitment to diversity, equity, inclusion, and social justice
  • Outstanding communications, organizational, collaboration, and interpersonal skills
