The Advent School: Operations Manager 

The Advent School, located in the Beacon Hill section of Boston, Massachusetts, serves 200 students in pre-Kindergarten through Sixth Grade. A mission-focused school founded in the principles of social justice, Advent has served the students and families of Boston since 1961. Through its Reggio Emilia-inspired curriculum, Advent’s faculty deliver authentic, rigorous, and experiential learning opportunities that encourage students to “learn with passion, act with courage, and change the world.”

Advent seeks an Operations Manager to join the school community. The Operations Manager plays a critical role in the daily operations of the School. Along with overseeing the operational needs of the building to ensure a healthy, safe, and productive work environment, they manage the building maintenance crew and the Administrative Coordinator. Having a deep understanding of daily operations, the Operations Manager is a creative problem solver who can take action, delegate and complete tasks, and ensure the successful daily functioning of the school. This individual reports to the Director of Finance & Operations.

The Operations Manager applies their deep knowledge of daily school operations to consider ways The Advent School can further live its social justice mission. This includes seeking out mission-aligned vendors and suppliers and carefully managing materials and resources to minimize environmental impact. Additionally, the Operations Manager considers the School’s impact on the local community and helps the School be a good neighbor through the upkeep of the building and grounds, and proactively fostering positive relationships. 

Work hours are 7:45 a.m. – 3:45 p.m. Monday through Friday; some nights and weekends may be required.


Responsibilities & Duties


  • Open the main school building each day by 7:45 a.m.
  • Oversee the physical needs of the building, parking lot, and recess yard
  • Responsible for site level procurement of supplies, materials, equipment, and inventory management
  • Implement a yearly maintenance cycle reflecting regular building upkeep and seasonal needs
  • Manage and provide guidance to the building maintenance crew
  • Provide oversight for large-scale facilities projects including repairs and renovations, and working with the Director of Finance & Operations to secure contractors
  • Provide regular updates and reports on facilities to the Director of Finance & Operations and the Board Facilities Committee


  • Oversee and manage third party contracts related to transportation, facilities, and maintenance
  • Examine Advent’s ordering practices for mission-alignment, environmental impact, and efficiency while considering budgetary constraints
  • Reach out to vendors as needed for regular maintenance and secures additional vendor support for school-wide events


  • Oversee the School’s transportation plans, including daily bus transportation (through Boston Public School) and other bus use for field trips, etc.
  • Support the Administrative Coordinator in implementing the daily transportation plans for students and communicating with administrators, teachers, and families


  • Responsible for site level budget monitoring and management, with input into budget development as it relates to facilities, materials, and supplies
  • Periodically review the buildings safety protocols, including evacuation plans for fire drills and other emergency procedures
  • Plan and lead school-wide communication for school operation updates and changes
  • Oversee front desk operations and management of the Administrative Coordinator, including maintaining the integrity and accuracy of student records and daily attendance
  • Provide front desk administrative coverage from 7:45 – 10:00 a.m.
  • Participate in weekly meetings as a member of the administrative team

The ideal candidate will have 3 – 5 years administrative experience in addition to:

  • Knowledge of daily school operations
  • Ability to organize and prioritize needs and tasks to ensure an efficient, safe, and productive work environment
  • Effective communication skills and ability to coach and mentor members of the team
  • Detailed oriented, self-starter, and excellent customer service skills
  • Bachelor’s degree
