The Advent School: Operations Administrator

The Advent School, located in the Beacon Hill section of Boston, Massachusetts, serves 200 students in pre-Kindergarten through Sixth Grade. A mission-focused school founded in the principles of social justice, Advent has served the students and families of Boston since 1961. Through its Reggio Emilia-inspired curriculum, Advent’s faculty deliver authentic, rigorous, and experiential learning opportunities that encourage students to “learn with passion, act with courage, and change the world.”

Advent seeks an Operations Administrator to join the school community. The Operations Administrator plays a critical role in the daily operations of the School, ensuring a healthy, safe, and productive work environment, and is an integral member of the Business Office. This individual is a creative problem solver who can take action, delegate and complete tasks, and contribute to the successful daily operations of the school. The Operations Administrator reports directly to the Director of Finance & Operations.

The Operations Administrator is a full-time, salaried position that includes medical and dental insurance, a retirement plan, professional development opportunities, and paid time off. Work hours are 7:45 a.m. – 3:45 p.m. Monday through Friday; an occasional night and/or weekend may be required to support school events.


Responsibilities & Duties

Purchasing & Vendor Relations

  • Manage all aspects of the purchasing process, including confirming receipt and invoice approval
  • Responsible for site level procurement of supplies and materials, and inventory management
  • Prepare check requests and disbursements, and maintain vendor files
  • Oversee and manage third party contracts related to transportation, facilities, and maintenance
  • Secure additional vendor support for school-wide events


  • Collaborate with the Administrative Coordinator in implementing the daily bus plan for students, through the Boston Public Schools, and communicating plans with administrators, teachers, and families
  • Coordinate private third party bus service for field trips and other school events

General Operations

  • Oversee building safety protocols including inspections and emergency evacuation procedures
  • Support Maintenance Manager with daily facility operations and yearly maintenance schedule
  • Plan and lead school-wide communication for operation updates and changes
  • Support front desk operations with the Administrative Coordinator, including maintaining the integrity and accuracy of student records and daily attendance
  • Participate in weekly duties and meetings as a member of the administrative team
  • Provide front desk administrative coverage from 8:00 – 10:00 a.m.

The ideal candidate will have the following:

  • Prior school administrative experience
  • Knowledge of daily school operations
  • Fundamental bookkeeping and/or accounting skills
  • Ability to prioritize daily, monthly, and quarterly tasks and meet deadlines
  • Effective communication skills and attention for detail
  • Competency with technology and systems such as Blackbaud, Quickbooks, Microsoft Office, and Google Suite
