Human Resources Coordinator

We are looking for a service-oriented and technology savvy Human Resources Coordinator to ensure the smooth functioning of the human resources office.  The Human Resources Coordinator will possess well-developed problem-solving abilities, the ability to respond in flexible and appropriate ways to challenges, and be super organized with the ability to multitask. This role requires a versatile individual who has experience in all aspects of human resources including recruitment and onboarding, benefits and leave administration, payroll, and HRIS management and reporting. This role is best suited for individuals seeking to work with a small team that works collaboratively. Concord Academy is a highly relational school and due to the nature of this role, this is an in-person position.

Responsibilities:

  • Manage the daily processing of employee benefit programs partnering closely with the payroll department, including auditing enrollment, payments for vendors, responding to employee inquiries, and resolving benefits-related issues.
    • Inform employees of the details of the school’s benefit programs
    • Manage enrollments and determine employee eligibility.
    • Reconcile health, dental, vision, and LTD insurance bills monthly to maintain accuracy
    • Manage weekly file feeds and resolve discrepancies
    • Make HSA contributions and report enrollment for PFML monthly
    • Review and submit FSA and MVR invoices for processing monthly
    • Coordinate the Open Enrollment process and audit changes at the start of each benefit year
  • Handle inquiries from employees with respect, knowledge, and confidence and refer complex or sensitive matters to the appropriate colleague(s)
  • Coordinate the recruitment process under the direction of the Director of Human Resources
    • Edit and post open positions to internal and external sites and CA’s website
  • Facilitate the full-cycle onboarding process to ensure proper hiring procedures and paperwork are completed in coordination with key departments on campus (IT, Ops, Finance, home department)
  • Process all new hire information, maintain I9s, fingerprints, CORI, and all paperwork associated with new hires
    • Support new employees in navigating the onboarding process, including benefit offerings and other procedures and policies
  • Lead the CA Summer Camp counselor onboarding process
    • Fully onboard approximately 150 employees in advance of the summer season, ensuring all background checks and onboarding/rehire paperwork is completed fully and accurately
  • Process biweekly and monthly payrolls in coordination with the Finance office and ensure that employee benefit selections, payroll deductions, salary, tax, direct deposit, and relevant demographic changes are processed accurately and promptly
  • Administer leaves of absence and process claims or requests
    • Reconcile all payments made to CA and claimants to ensure accuracy and communicate with claimants to provide clarity, as needed
    • Work with the Finance department to accurately process payroll for employees on leave and make them whole
  • Prepare letters for all departments as needed throughout the year, including faculty, staff, coach, overhire, seasonal, temporary, and camp counselor letters
  • Manage HRIS and database systems including ADP (applicant tracking, onboarding, benefits, payroll, terminations, etc.), and PowerSchool, as well as physical and electronic employee files to meet compliance regulations
    • Maintain the integrity and confidentiality of human resource files and records per federal, state, and provider regulations.
  • Manage HRIS reporting for all HR and organizational needs including benefit enrollments, current employment, contact/demographic information, census data, and record audit for the use of multiple departments (Finance/HR, Emergency management through Ops and IT, Communications, A&E, Head’s Office/Student Life, etc.)
  • Process and maintain CORI, SORI, MVR, and fingerprinting school background check records for all school employees and any volunteers, vendors, or independent contractors
  • Partner with the Director of Human Resources in updating, implementing, and enforcing school policies and overall regulatory/legal compliance requirements.
  • Assist the Director of Human Resources in developing and implementing special projects, HR policies, procedures, and programs to support organizational objectives
  • Establish effective working relationships with faculty, staff, and brokers
  • Participate actively in personal and/or professional growth and development and stay abreast of employment benefits trends and regulatory issues.
  • Coordination of training programs with the Director of Human Resources.
  • Perform general office administrative tasks as assigned.

Job Requirements:

  • Bachelor’s Degree or a minimum of 2 years of project supervision experience required, preferably in the area of Human Resources
  • Intermediate Excel, MS Office, and Google Suite software proficiency
  • Familiarity with databases, student information, human resources, and finance databases preferred.
  • Advanced communication skills (verbal, written, electronic) and superior phone skills
  • Attention to detail and problem-solving skills.
  • A creative mind with an ability to suggest improvements.
  • Must be team-oriented, possess a positive attitude, and work well with others.
  • Enthusiasm for working in an independent school setting and desire to embrace the school mission and values.
  • A high level of integrity, honesty, and a strong work ethic.
  • Candidate must pass a criminal record check.
  • Ability to traverse the CA campus including climbing stairs
  • Ability to lift and carry materials for the office (up to 20 lbs.)
