Position Purpose

Executive Assistant to the Director of Admissions and Financial Aid serves as a primary liaison with prospective families throughout the financial aid process.  Working with other department members, provides exceptional verbal and written engagement with prospective families and on-campus partners on all matters related to the financial aid program. This position provides management of all travel and related expense for financial aid students, conducts a high level of data entry and support other operational needs of the admission office.

This is a full-time, 12 months/year, 40 hours/week benefited position.  Schedule is M-F but may vary according to departmental and Academy needs.

Key Accountabilities

Financial Aid

  • Serves as primary contact for applicants and current students/families with questions received via telephone, email or in person in a timely, accurate, professional and welcoming manner in regards to the financial aid program
  • Assesses incoming documentation and communication against financial aid guidelines through School and Student Services (SSS).
  • Performs accurate data entry into systems for all processes.
  • Implement office procedures and develop/maintain documentation on financial aid processes.
  • Collaborates with department and academy leaders on reports, statistics, and monitoring information.
  • Coordinate student travel to and from campus during school breaks.
  • Responsible for assisting financial aid students on purchasing of school supplies and manages reimbursement when necessary.
  • Prepare and produce all financial aid correspondence, revising and editing documents as appropriate both to applicants, current students and to alumni/ae in written and electronic formats.
  • Executes audits and/or reports to verify data integrity and resolve issues identified.
  • Provides training and support for co-workers where applicable.
  • Coordinates all mailed financial aid correspondence for newly admitted students.
  • Confidently works in Microsoft Office at an intermediate or advance level; especially in Excel.
  • Performs other duties as assigned.

Support for Admissions

  • Provide occasional support with family engagement by answering phones and monitoring office email when staffing needs make such support necessary and when support is manageable with other workload expectations.
  • Assists in coverage for Admissions Office for visitors on campus.

Support for Dean of Enrollment

  • Provide occasional support for travel planning and management.
  • Manage and coordinates calendar as needed for on and off-campus meetings and events.

Position Requirements

Education

  • High school diploma or GED required.
  • Associate’s degree preferred.

Experience

  • 3-5 years’ experience in similar role, preferably with financial management experience
  • Experience working with adolescents in an educational setting preferred.

  • Strong interpersonal skills with ability to develop and maintain collegial relationships.
  • Excellent communication (written and verbal) skills.
  • Demonstrated ability to work with students by building trust and credibility.
  • Excellent analytical and problem-solving skills as well as a strong customer focus.
  • A strict adherence to confidential policies is required.
  • Ability to work independently and handle multiple priorities and deadlines simultaneously.
  • Proficient in MS Office and Slate preferred.
  • Willingness and ability to learn additional applications as needed.
  • High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
  • Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.
