The Burr and Burton Academy Advancement Office seeks a full-time year-round Event and Marketing Coordinator, beginning by July 2022, to manage planning and execution of major events run by the Advancement Office and high level events put on by the school. The Coordinator role will also work closely with the Director of Communications to support event publicity. 

Candidates must have experience with sizable public events and vendor management, as well as excellent relationship-building and technology skills. Ability to manage multiple projects and priorities simultaneously is a must.

Work Year: Year Round

Schedule Academic Year – Monday through Thursday 8:00 am – 4:00 pm and Friday, 8:00 am – 3:00 pm. 

Summer & School Vacations – Monday through Thursday 8:00 am – 3:00 pm.

Summary

In partnership with the Directors of Advancement, Communications, and Facilities, the Event Coordinator is responsible for the logistical planning and execution of major events run by the Advancement Office, and high level events put on by the school. This role also works closely with the Director of Communications to support calendar-based communications. 

Essential Duties and Responsibilities

  • Event Planning — Manages budgets, venues, and contracts, working with stakeholders, caterers, entertainment, and vendors as needed, event setup and oversight, volunteer recruitment and management, seating arrangements, parking arrangements, etc. Coordinates closely with the BBA Facilities department and Calendar Committee. 
  • Event Execution — Manages events on-site, from planning through post-event cleanup; handles surprises with flexibility and grace.
  • Event Support and Communications — Works with event stakeholders and the Director of Communications to implement invitation/publicity strategies (print and digital), manage registration, track attendance, and facilitate any necessary followup.
  • Other duties as assigned.

Events include but are not limited to:

  • Headline Events including: The Gala, Commencement, and Reunion Weekend
  • Stewardship Events including: the Donor Appreciation Party and Founders Day Luncheon
  • Family Events including: New Parent Events, Fall and Spring Parent Mixers, and Grandparents Day
  • Key Volunteer Gatherings including: Trustee Meetings, the Board Retreat, and the Trustee Holiday Party; Advisory Council Meetings; and Alumni Board Meetings
  • Additional events as approved by the Director of Advancement. 

Required Knowledge, Skills and Experience:

  • Facility with Google Workspace, Microsoft Office Suite, and Zoom; ability to navigate Blackbaud tools including Raiser’s Edge, NXT, and On Campus.
  • Ability to create event materials using Canva, Adobe Suite, and BBA branding assets.
  • Sense of humor.
