The Opportunity: Part Time Director of Finance and Operations (.8 FTE)
As a young school, we continue to build out our leadership team in support of our growing school. For the 2025-2026 school year, we will be adding a new role – Director of Finance and Operations. The person in this role will be responsible for managing all financial and operational aspects of the school. Duties include financial management, accounting, payroll, human resources, risk management, facilities, transportation, and other key business operations of the school.
Reporting to our Head of School, the DFO serves as the Head of School’s strategic business partner, providing fiscal and operational analysis and support. The DFO is a member of the school’s leadership team and works collaboratively with the leadership team and Board of Trustees to ensure that the school’s financial and operational functions support Tremont’s mission, core values, and strategic direction.

What you’ll do
Finance & Strategy:
- Ensure the School’s business and fiscal goals align with its educational objectives and mission of the School.
- In collaboration and consultation with the Head of School, steward and lead all aspects of the school’s financial operations, including budgeting, accounting, payroll, tuition, and financial aid.
- Create financial models to inform strategic planning.
- Manage audits, compliance, and reporting (e.g., Form 990, board reports).
- Partner with enrollment and development to ensure accurate contracts, reconciliations, and record keeping.
- Oversee risk management, insurance, and external contracts.
Accounting:
- Execute all accounting transactions in Quickbooks.
- Scan & Post Vendor invoices; Pay invoices, Post deposits from your info, Post Payroll,
- Reconcile the bank accounts, CC, and cash transactions each week
- Manage Payments via Bills.Com and integrate into Quickbooks
- Manage Tuition Payments through BlackBaud and integrate transactions into Quickbooks
- Manage petty cash, deposit checks.
- Ensure proper GL coding of all transaction and accounting treatment for deferred revenue, restricted gifts, and other special treatment transactions.
- Prepare monthly financial reports (PL, BS, CF) with 10-days on month end close
Operations:
- Facilitate all HR processes, policies, benefits, payroll, and systems improvement.
- Manage office operations, transportation logistics, purchasing, and vendor relationships.
- Support technology and facilities management in collaboration with respective staff and partners.
- Supervise the Administrative/Data Systems Coordinator
- Supervise and evaluate risk management, including insurance and financial risk mitigation
Leadership & Community:
- Serve on the board finance committee and participate in board and school events.
- Take part in day-to-day school operations (e.g., drop-off, lunch duty, etc).
- Take on additional responsibilities as needed to support the Head of School, Leadership team and school mission.
Experience/Education you bring:
- Bachelor’s in accounting, finance, business administration, or related field; Master’s highly desired
- 5 to 7 years of related experience in financial management, budget preparation, and operations preferred; 2-3 years of leadership and supervisory experience in finance, business, and operations highly desired
- Demonstrated effectiveness working with multiple constituencies: boards of directors or trustees, students and families, faculty/staff, and external constituents.
- Extensive knowledge of generally accepted accounting principles, especially those that focus on independent schools and non-profit organizations.
- A Quickbooks expert. Able to post transactions. Set GL accounts. Create financial reports. Integrate data from 3rd party systems (Bills.com) and Blackbaud.
- Experience working with external auditors, implementing internal controls, and managing compliance-related issues.
- Strong background in school technology products, including Blackbaud (TMS, EMS, RENXT, Core) as well as the Google Suite of office products.
