Director of Facilities

The Director of Facilities reports directly to the Assistant Head of School for Finance and Operations and is responsible for the oversight of the physical plant, building maintenance, campus grounds, energy management, and campus security and transportation.

Essential Duties and Responsibilities

The Director of Facilities will:

  • Oversee the physical operation of the entire school and its programs 
  • Devise and manage an annual departmental budget 
  • Serve on the administrative team supporting the board of trustees
  • Serve as a collaborative and proactive team leader while supervising staff members within the facilities department, buildings and grounds crew, and security personnel
  • Maintain public safety on campus and assist in the review and execution of the school’s crisis management plan
  • Maintain a preventive maintenance program for campus buildings, grounds, facilities, equipment, and vehicles keeping the school’s appearance in exemplary condition and ensuring facility readiness for daily operations and special events 
  • Ensure the preparation of playing fields, grounds, and other necessary facilities for athletics and other school activities
  • Establish and manage the requirements and schedules for plowing operations to maintain campus safety for faculty, staff, students and visitors
  • Develop and implement an ongoing equipment replacement program
  • Conduct periodic inspections of all school facilities to ensure that high standards of workmanship, cleanliness, and safety are maintained
  • Prepare specifications for bids/quotes for equipment, school projects, capital improvements projects and all outside contractual work
  • Partner with the Assistant Head of School in the evaluation of bids/quotes from outside contractors and recommend awards to the Head of School
  • Lead the supervision and inspect the improvements and renovation work performed by outside contractors and verify that the terms of all such contracts are in compliance with contractual agreements and budgetary restrictions before recommending final payments
  • Lead in the recruitment, employment, assignment, transfer, promotion, demotion, evaluation or dismissal of facilities staff and cleaning vendors
  • Lead the direct maintenance of all buildings and grounds as to cleanliness and safety
  • Lead the development and approval of facilities staff work loads and schedules 
  • Ensure that all school-owned equipment germane to the operation and maintenance of the school buildings, grounds, and vehicles are maintained and operated in compliance with federal, state and local standards and regulations
  • Establish policies and protocols that meet all required environmental, health, safety, and maintenance standards as required by law and work with the administration to ensure compliance with all regional, state, and federal regulations and laws as they impact the school
  • Maintain inventories of equipment and supplies and other necessary records as required and ensure all security measures regarding proper operation of equipment and proper training of staff are adhered to at all times
  • Lead all energy saving programs along with monitoring all utility contracts, purchasing of utilities
  • Perform such other duties as may be appropriate to the position or as may be assigned by the Assistant Head of School for Finance and Operations and Head of School

Qualification Requirements

  • Experience as an engaged and responsive individual with stakeholders of previous work environments
  • Bachelor’s degree in engineering, construction management, facilities management or related discipline 
  • 5 – 10 years of experience in a supervisory/management role in construction, maintenance/repair; working knowledge of at least three trades is required (maintenance, plumbing, electrical, HVAC systems, carpentry, construction)
  • Prior experience in an educational or similar institution
  • Demonstrated success in managing a large facility
  • Strong supervisory, organizational, technical, and analytical skills
  • Proven success developing and balancing an annual budget
  • Strong interpersonal and communication skills, both written and verbal
  • Problem solver with a high degree of diplomacy
  • Technologically savvy including Google and related facilities management programs 
  • Experience with blueprints and building specifications
  • Detail oriented
  • Able to work collaboratively while leading a team in pursuit of excellence
