Development Administrator Coordinator

Milton Academy seeks an administrative coordinator in its Development and Alumni Relations Office.

The administrative coordinator provides administrative support to the Director of Development and fundraising team that includes planned giving, leadership gifts, and the Milton Fund. Coordinate assembly of projects, management of team meeting agendas and scheduling, mailings and electronic communication. Coordinate travel and itinerary planning, support solicitation preparation, volunteer, and event support.  Other responsibilities include:

  • Provide daily administrative coordination for the Director of Development including meeting scheduling and planning, calendar review and management, and special projects as assigned; read, research, and route correspondence; draft letters and documents; and collect and analyze information.
  •   Support stewardship initiatives by preparing high-touch donor gifts and communications; contribute to specialized donor experiences such as campus visits, meetings, and special events with leadership.
  •  Prepare team members for cultivation and solicitation visits by assembling research, background materials, and development documents.
  •  Arrange travel for fundraising team.
  • Coordinate team meeting agendas/scheduling, take or record notes for departmental meetings, coordinate prospect management meetings, including visits from campus stakeholders in conjunction with the Director of Development and Director of the Milton Fund.
  • Maintain accurate paper and electronic records in Raiser’s Edge for Director and gift officers; prepare prospect lists and other reports from Raiser’s Edge regularly.
  • Guarantee accuracy and timeliness of prospect pipeline data through maintenance of prospect staging and portfolio assignments; coordinate with the Advancement Operations team on regular reporting and review of performance metrics for team members
  • Coordinate Planned Giving program through hard and soft mailings, the Forbes Goodwin Society website, and events; assist with marketing strategy and tracking.
  • Perform administrative duties to support the Director of Planning Giving and Director of the Milton Fund, including budget oversight.
  • Collaborate with other Coordinators to support office-wide initiatives and projects.

A bachelors’ degree is required and prior administrative or events experience is preferred.
