The Cambridge School of Weston (CSW) is seeking an experienced project manager to lead development operations in support of all fundraising and engagement efforts. The Data and Development Services Administrator oversees the Development Office’s Raiser’s Edge database and Raiser’s Edge NXT web platform and is responsible for the internal operations and organization of constituent and gift records. They oversee and implement Development Office operations including donor records and database administration, financial, development, and engagement reporting, gifts management, and donor relations. They will work collaboratively with development staff members on all data-related departmental activities. The Data and Development Services Administrator also serves as the Development Department’s liaison with the Business Office and reports directly to the Associate Director of Development.

Specific responsibilities for this position include:

Database System:

  • Monitors and maintains database and associated systems on daily/monthly/weekly basis
  • Establishes protocols for data collection and entry to ensure consistency across platform and verification of accuracy of data inputs
  • Establishes and maintains the highest standards of data integrity for all records using best practices
  • Researches, proposes, and implements upgrades to increase database and reporting efficiency
  • Collaborates with different offices in department to determine how information is being entered and proposes and enforces standards for entry and database hygiene
  • Systematically reviews and consolidates data tables, fields, and custom fields to ensure clean system operations reporting over time
  • Updates policies and procedures manuals related to database operations for department
  • Handles database security and administration and manages new and departing users

Data Analysis

  • Manages gift records and built-in data parameter files in Raiser’s Edge so that giving levels and donors can be quickly reported
  • Segments constituents for strategically targeted communications
  • Creates and maintains library of queries, exports, and lists in Raiser’s Edge and Raiser’s Edge NXT
  • Recommends constituents to include in communications and prepares USPS mail and email lists for distribution
  • Establishes procedures for recording and tracking donations, pledges, invoices, tributes, affiliations, and correspondences

Constituent Records:

  • Oversees entry and maintenance of all constituent data
  • Manages constituent data flows from records in CSW’s student information system into Raiser’s Edge and works with school’s systems manager to ensure proper data flows
  • Manages mapping profiles and imports in Importomatic plugin to accurately transfer constituent and data systems

 Gift Records:

  • Audits gifts to ensure they have been entered and credited correctly and reconciles gift information with Business Office
  • Oversees acknowledgment process and procedures and ensures correct maintenance
  • Prepares analytical and statistical giving and donor reports by request
  • Produces requests/reports for program area needs such as major gifts, annual fund, and events
  • Manages online donation applications and integrates online giving activity into Raiser’s Edge
  • Oversees donor paper and electronic filing system and ensures that information is kept ready and available for yearly outside audit

Skills and Qualifications:

The technology infrastructure of the Development Department is evolving rapidly, with new systems and technology integrations constantly changing the nature and scope of the department’s work. Therefore, CSW is looking for a person who is either familiar with or capable of quickly acquiring a knowledge of the operational capacities of Raiser’s Edge and its associated systems, and who is flexible and creative enough to continually adapt those systems to the department’s evolving needs. Among the general skills required are:

  • An understanding of the capabilities and functions of relational databases
  • Ability to prioritize projects and synthesize information with accuracy and in detail
  • Ability to effectively present information in one-on-one and small group settings to a variety of constituencies
  • Self-starter with excellent decision-making capabilities
  • Effective written and oral communication skills and organizational and interpersonal skills and capable of working within a team environment
  • Working knowledge of MS Office Suite applications (Excel, Word) and the ability to research and learn new capabilities in those systems as necessary for carrying out the department’s work
  • An ability to effectively interact with CSW’s constituents in the parent and alumni community and confidently answer questions and concerns as they relate to information contained in Raiser’s Edge and according to the school’s policies
  • Experience working with and serving diverse populations

Education, Training, and Experience:

  • General computer literacy required
  • Knowledge and experience in educational fundraising and a grasp of the essentials of stakeholder constituencies, donor stewardship and relations, and donor moves management
  • Raiser’s Edge experience is a plus but is not required
