Auxiliary Programs Facility Manager The Auxiliary Programs Facility Manager will be a member of the Phillips Academy Business Office and will lead all aspects of Phillips Academy’s administrative and operational programs associated with the operation of the Academy facilities for external entities. Reporting to the Director of Business Services & Risk Management, the manager will oversee external use of Academy facilities, including events and operations, as well as work cooperatively with Summer Session and athletic department staff and coaches. Additionally, the Auxiliary Programs Facility Manager will serve as the primary liaison for event guest services, athletic camps, club programs, outside organizations, e.g., Andover Racket Club, Andover Tennis Club, etc., and special athletic events hosted at Phillips Academy facilities. Responsibilities include safety/risk management, staff training, budget oversight, and oversight of all special event services. Additionally, the position will directly supervise and manage the Phillips Academy aquatics program and other athletic programs. This position must provide strong and effective on-site leadership and guidance to all relevant staff, participants, and other stakeholders.

Bachelor’s degree required, and concentration in Recreation or Public Administration preferred. Excellent interpersonal skills, the ability to take initiative and collaborate with others, and experience with business finances and models is required and an understanding of private education is preferred. Previous experience managing external constituencies as well as experience in developing and implementing organizational strategies. Ideal candidate will have a background managing a variety of athletic programs and sporting complexes. Proficiency with common business productivity and analysis tools as well as the design and presentation of both qualitative and quantitative reports is required.

The candidate must have at least five, preferably ten, years of experience supervising facilities, employees, and programs. The candidate’s management experience should include the formation and operation of successful administrative and operations divisions. The position requires a highly successful management record and a wide variety of direct facility operations experience. The candidate must be able to communicate well verbally and in writing and possess the ability to build relationships with a wide variety of constituents, including clients, faculty, staff, and students. As a residential high school, the Academy requires appropriate behavior from its employees to maintain a safe and healthy environment for the students.

The manager will:

• Develop, administer, implement, and monitor all aquatics operations, including standard operating procedures in all aquatic areas. Maintain training, performance, certification and recertification, and scheduling of lifeguards and natatorium pool operators during both the regular and summer sessions;

• Develop and propose pro forma budgets for third party use of Academy athletic facilities campus-wide, including, but not limited to, aquatics, playing fields including the stadium, tennis courts, squash courts, boathouse, and indoor track;

• In coordination with the Athletic Director, develop and implement policy and processes to ensure smooth operations for external programmatic use of athletic facilities;

• Supervise and control all aspects of non-Academy use of Academy facilities including scheduling, crowd control, spectator concerns and interests, and liaise with Office of Physical Plant and Office of Campus Safety to support use of facilities;

• Create and organize, in conjunction with the Athletic Department, a master calendar of events at all athletic facilities to ensure that Phillips Academy athletic teams have priority for use of the facility and that the facilities are not booked for conflicting events. Ensure communication with Athletic Director on all team scheduling for contests;

• Negotiate and execute, within Academy policies and procedures, all contracts for outside events and ensure that all contracts and insurance information are in place before facility rental arrangements including tare finalized;

• Serve as the primary liaison regarding all camp activities and external facilities use during summer and school vacation times, including coordinating all dates and schedules with the Summer Session office;
