Position Summary

Falmouth Academy seeks an Associate Director of Admission to support the mission-driven enrollment program for grades 7–12. Reporting to the Director of Admission and Enrollment Management, this full-time, 12-month position will assist in implementing comprehensive targets for recruiting, enrolling, and retaining students.

The Associate Director’s responsibilities will span the full enrollment cycle (recruitment, admission, yield, financial aid, and retention) and will include assisting with family meetings, running events, maintaining follow-through, and helping the Director gather and analyze data to improve practice year over year.

Familiarity with boarding recruitment is a plus, as the school grows its five-day boarding program.

Primary Responsibilities

Recruitment, Outreach, and Family Partnership

  • Serve as a primary point of contact for prospective families from inquiry through enrollment, providing timely, thoughtful, mission-aligned communication.
  • Oversee tour guide and day-visit programs; train student ambassadors and educate faculty on their roles in admissions.
  • Conduct family tours, student visits, and interviews; represent the school at on-campus and off-campus recruitment events.
  • Build relationships with community-based organizations, feeder schools, educational consultants, realtors, and mission-aligned partners, as directed by the Director.
  • Help plan and execute key admission events (open houses, information sessions, visit days, yield events, orientation, etc.).
  • Support efforts to broaden and strengthen the inquiry pipeline, including targeted outreach to new communities and partners.

Application Management and Admission Decision Support

  • Manage inquiry database; schedule families and applicants through the funnel with consistent follow-up, application completion, scheduling, and communication of next steps.
  • Read and evaluate admission and financial aid applications; write notes and contribute to committee conversations and recommendations.
  • Support yield work through personalized outreach, revisit coordination, and ongoing family advising as families make decisions.

Retention and Community Engagement

  • Support re-enrollment and retention initiatives, including event programming, family communications, student transition work, and coordination with student support/academic teams.
  • Maintain a visible, engaged presence in the life of the school, including attending key events and cultivating relationships with students and faculty.
  • Partner with colleagues across the school to identify and share compelling stories that reflect the lived experience of Falmouth Academy.

Enrollment Operations, Systems, and Reporting

  • Maintain accurate records and a high standard of operational excellence in the school’s Blackbaud Enrollment database.
  • Produce routine reports and seasonal funnel analyses to support weekly prioritization and long-range planning.
  • Help refine office systems: inquiry follow-up, tour and event workflows, communication templates, visit-day logistics, and application review protocols.
  • Support cross-department collaboration for new student onboarding and transition communications.

Boarding Recruitment Support

  • Contribute to recruitment and advising of prospective boarding families (where applicable), including helping families understand residential life, supervision structures, logistics, and student support.
  • Assist with boarding-related yield efforts, including revisit programming, student/parent conversations, and partner outreach.
  • Where appropriate, help the Director strengthen the school’s boarding messaging and recruitment practices by bringing prior experience and best practices.

Required Qualifications and Skills

  • Bachelor’s degree required.
  • 3+ years of relevant experience in enrollment management, admissions, or closely related family-facing roles (independent school experience strongly preferred).
  • Strong interpersonal skills with the warmth, tact, and judgment to work effectively with adolescents and adults.
  • Excellent writing and communication skills; confident public speaking and 1-on-1 conversations.
  • Strong organizational systems and attention to detail; ability to manage multiple deadlines with consistent follow-through.
  • Comfort with data and CRM systems; ability to use information to prioritize, learn, and improve practice year over year.
  • Competence in Google Suite and Microsoft Office.
  • Willingness to work some evenings/weekends throughout the year for events and to travel occasionally for recruitment.

Preferred Qualifications

  • Experience recruiting for boarding programs.
  • Familiarity with Clarity, financial aid processes, and family affordability conversations.
  • Experience collaborating with marketing/communications on enrollment storytelling and campaign planning.
  • Comfort using Adobe Suite (InDesign, Illustrator, Photoshop) and Canva.
  • Knowledge and experience in Blackbaud Enrollment (CRM).
