Assistant Director of Operations

Position Overview
St. Sebastian’s School seeks a highly motivated and collaborative Assistant Director of Operations to support the daily and long-term operational needs of the School. Working closely with the Director of Operations, this position provides leadership and hands-on support across Facilities, Information Technology, Safety & Security, Transportation, Capital Projects, and Food Services.
The Assistant Director of Operations plays a critical role in ensuring the School’s campus operates safely, efficiently, and sustainably in support of St. Sebastian’s mission of forming young men of competence, conscience, faith, courage, compassion, and commitment.
This is a critical and essential position that requires availability during emergencies and major campus events.
Key Responsibilities
Facilities Operations & Systems Management
- Assist in overseeing the operation, maintenance, and performance of HVAC, electrical, plumbing, fire alarm, fire protection, generators, and other life-safety systems.
- Support preventive maintenance programs, service contracts, and corrective repair efforts.
- Maintain facilities records and ensure regulatory and code compliance.
- Serve as a primary facilities point of contact for vendors, service providers, and residential tenants, as applicable.
Planning, Projects & Capital Support
- Assist with planning, budgeting, and execution of facilities and infrastructure projects.
- Coordinate with contractors, engineers, architects, and vendors to ensure timely, compliant, and high-quality project delivery.
Safety, Security & Emergency Preparedness
- Support life-safety inspections, testing, drills, and emergency response planning.
- Serve as part of the School’s emergency response and crisis management structure.
Auxiliary Services & Operations Support
- Support transportation operations, food service coordination, and campus event logistics.
- Assist with operational planning for major school events and programs.
Financial & Administrative Support
- Assist with budget tracking, bid processes, purchasing, and contract administration.
- Support documentation, reporting, and operational planning efforts.
Leadership & Collaboration
- Support and collaborate with facilities and operations staff.
- Communicate proactively with faculty, staff, administrators, and external partners.
Qualifications
Required
- Bachelor’s degree in a related field or equivalent professional experience.
- Minimum of 7 years of experience in facilities management, operations, or logistics.
- Strong organizational, problem-solving, and communication skills.
- Valid driver’s license.
Preferred
- Advanced degree or relevant professional certification.
- Massachusetts Class D or Class B driver’s license.
- Massachusetts professional equipment licenses (e.g., hoisting, hydraulics, construction supervisor).
- Experience in an educational or institutional setting.
Work Conditions
- Primarily an on-site role with occasional evening or weekend hours required.
- Physical requirements include walking the campus and lifting up to 50 pounds.
- Designated as critical and essential personnel, required to report to campus during emergencies.
