Admissions Office and Database Manager

Job Summary:
The Admissions Office and Database Manager is the “first face” of the office and serves as the first point of contact for prospective families. The position is a mix of administrative and office support and requires collaboration with other school offices. The Admission Office Manager reports directly to the Director of Enrollment.
Duties/Responsibilities:
- Run day to day operations of the Admissions Office.
- Meet and greet prospective students and their families.
- Screen and route phone calls to Admissions Officers and take messages as needed.
- Present the Academy’s application process to prospective students and parents, which includes systematic and efficient handling of applications, communications with candidates and their parents; scheduling interviews with candidates and their parents; arrangements for admissions testing; securing necessary student credentials; and maintaining admission records.
- Manage the flow of applicant files.
- Maintain and manage the office calendar.
- Maintain, manage and oversee the Admissions Office database, including running statistical reports, queries, and entering inquiries and application data.
- Oversee Admissions Office logistics including ordering office supplies,and marketing materials.
- Coordinate events such as Open House, Revisit Day, entrance exams, information nights, and other admission events, both on and off campus.
- Assist Admissions Officers to prepare for various school gatherings and conferences.
- Sort mail and prepare correspondence as needed.
- Assist in developing and executing internal and external communications.
- Work evenings and weekends as required.
- Manage administrative pieces of international student enrollment.
- Communication/management with vendors.
- Keeping communal spaces in good order throughout the day.
- Proofreading and distributing materials such as agendas and minutes.
- Managing any general business email inboxes, ensuring communications reach the necessary departments.
- Schedule appointments and manage office schedules.
- Coordinate various office events.
- Perform other duties as assigned by the Director of Enrollment Management.
Required Skills/Abilities:
- Bachelor’s Degree
- Previous admission or high school teaching experience (preferred but not required);
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); Ravenna, or similar admissions databases.
- An ability to work with a range of constituents, including alumni, current families and families new to independent schools.
- Strong organization, communication and interpersonal skills.
- The ability to be self-directed, analytical, and detail oriented as well as able to prioritize a variety of obligations and deadlines.
- International travel, work experience or the experience of working with international students or families is also preferred.
- Key personal attributes: a positive spirit, optimism and a ‘can-do’ attitude.
WORK CONDITIONS:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
- Walk to other buildings on campus.
WORK ENVIRONMENT:
- Normal office environment
- Occasional night and weekend work for scheduled events
- Regular working hours are 8:00 AM to 4:00 PM (plus select evening and weekends)
