Position Summary:

The Admissions Information Systems & Office Manager plays a critical role in supporting the admissions process at Concord Academy. This key member of the admissions team oversees the technology and administrative operations that ensure a seamless and efficient process. The role manages the admissions CRM and data systems while handling daily office operations, ensuring excellent customer service for prospective families, and supporting the admissions team in achieving enrollment goals.

Key Responsibilities:

Admissions Information Systems Management:

  • Serve as the primary administrator for the admissions CRM (e.g., Blackbaud, Veracross, Ravenna, Finalsite, or SchoolAdmin).
  • Maintain accurate applicant records and manage data integrity throughout the admissions process.
  • Generate reports, dashboards, and data analysis to support enrollment strategies.
  • Troubleshoot system issues and coordinate with IT and vendors for updates and improvements.
  • Assist in the integration of admissions systems with student information, financial aid, and communications platforms.

Reporting & Data Analytics:

  • Develop and maintain real-time dashboards and reports to track inquiries, applications, yield, and enrollment trends.
  • Provide data-driven insights to inform recruitment strategies and enrollment decisions.
  • Conduct regular audits to ensure data accuracy and compliance with school policies.

Process Optimization & Automation:

  • Identify and implement workflow improvements to streamline the admissions process, including inquiry tracking, application review, and decision notifications.
  • Automate routine tasks to enhance efficiency for the admissions team and improve the family experience.
  • Train admissions staff on system usage, best practices, and new features.

Collaboration & Support:

  • Serve as the primary liaison between the admissions team, IT, and external technology partners.
  • Work closely with the marketing and communications team to optimize digital engagement strategies and admissions communications.
  • Assist in integrating the admissions CRM with financial aid, student information, and communications systems.
  • Ensure compliance with school policies, data privacy regulations, and industry best practices.

Office Management & Administrative Support:

  • Oversee the daily operations of the admissions office, ensuring a welcoming and organized environment.
  • Manage office communications, including phone calls, emails, and in-person inquiries from prospective families.
  • Schedule and coordinate admissions events, tours, and interviews.
  • Maintain office supplies, records, and general administrative processes.
  • Assist with application processing, document management, and admissions committee logistics.

Customer Service & Family Engagement:

  • Serve as the first point of contact for prospective families, providing excellent customer service.
  • Guide families through the admissions process, answering questions and providing support.
  • Coordinate visit days, student shadow programs, and open house events.
  • Work closely with the admissions team to ensure a personalized and engaging experience for applicants.

Qualifications:

Education & Experience:

  • Bachelor’s degree in Business Administration, Information Systems, Data Management, Education, or a related field.
  • 3+ years of experience in admissions operations, office management, or CRM administration, preferably in an independent school setting.
  • Experience in a boarding school environment is a plus.
  • Ability to teach and train staff on system usage, best practices, and new features

Technical Skills:

  • Proficiency in admissions CRM platforms (e.g., Blackbaud, Veracross, Ravenna, Finalsite, SchoolAdmin).
  • Strong knowledge of data management, reporting tools (Excel, Google Sheets, SQL, Tableau, or similar), and process automation.
  • Familiarity with system integrations, APIs, and data security best practices. (e.g., Gateway and SAO).
  • Ability to generate reports, track enrollment trends, and analyze data.
