Austin Preparatory School, located in Reading, Massachusetts—approximately 15 miles north of Boston—is seeking qualified candidates for the position of Administrative Assistant. Founded in 1961, Austin Prep is an independent, co-educational Catholic day school in the Augustinian tradition, serving more than 800 students in grades 6–12.

Austin Prep seeks an experienced, highly organized Administrative Assistant to support the efficient day-to-day operations of the school. This position manages a wide range of administrative responsibilities and requires professionalism, discretion, strong organizational skills, and the ability to prioritize and execute tasks with accuracy and efficiency in a dynamic school environment.

Responsibilities:

• Manage a complex calendar and daily scheduling priorities
• Process expense reports, collect receipts, and generate and track purchase orders and related documentation
• Provide administrative support for meetings and school events, including preparation of agendas, materials, and correspondence
• Compile and analyze data and prepare reports using Excel, Veracross, Axiom, and other systems
• Assist with maintaining office readiness and presentation, including seasonal or special occasion preparations, and to balance and manage daily office operations, specifically the inquiries of students, employees, parents, vendors, and visitors

Qualifications:

• Minimum of three years of experience supporting a senior-level executive, preferably in an educational or nonprofit setting
• Advanced proficiency in Microsoft Office, Excel, Google Suite, Canva and Adobe InDesign
• Excellent organizational, communication, and time-management skills
• Professional demeanor with strong attention to detail and discretion in handling confidential information
